Redness or swelling after a service sent to the owner
A client who calls about a red, sore toe after a pedicure needs a person. The agent gathers what she's seeing and puts her through to the owner, with a summary first, and offers no advice of its own.
A client calls about redness, swelling, pain or anything that sounds like a reaction after a service.
Asks what she's seeing and when it started, warm-transfers to the owner, never gives advice.
The owner hears from the client right away, with the visit and technician already in front of her.
How it works
- Takes it seriously
Redness, swelling, heat, pus, a rash on the fingers or a burning feeling under gel. Any of these goes straight to a person.
- Gathers the details
Which finger or toe, when it started, what service and when, and whether it's getting better or worse. Nothing more clinical than that.
- Gives no advice
It doesn't say what it might be or what to put on it. If the client sounds unwell, it suggests she see a doctor or pharmacist, and for anything urgent, call 911.
- Puts the owner on
A warm transfer with a short private summary first. If the owner can't take it, a callback within the hour and the details by text.
- Keeps the record
The visit, the technician, the station and the client's words are saved, so the owner can check the station and follow up.
Example call
- CustomerHi, I had a pedicure on Sunday and my big toe is really red and sore now.
- AI agentI'm sorry, that sounds uncomfortable. I'd like to get you to Hanh, the owner, right away. When did you first notice it?
- CustomerYesterday. It's a bit worse today.
- AI agentThank you. I can't tell you what it is, but if it keeps getting worse or you feel unwell, please see a doctor or a pharmacist. I'm putting you through to Hanh now.
- CustomerOkay, thanks.
- AI agentOne moment. I'm letting her know it's your big toe, red and sore since yesterday, after Sunday's pedicure with Mai.
After the call: Hanh takes the call with the visit, the technician and the client's words in front of her, checks Mai's station records, and follows up with the client herself. The call is saved privately in the portal.
What your team gets
- Every after-service concern reaches the owner the same day
- The visit, technician and station saved with the call
- A private summary only the owner sees
- No advice from the agent, ever
Questions
Will it tell the client what to do?
No. It gathers the details and gets her to the owner. If she sounds unwell, it suggests a doctor or pharmacist, and 911 for anything urgent.
Who sees these calls?
Only the owner and anyone you choose. They're kept apart from the regular booking notes.
What if the owner is off that day?
You set a backup, such as a senior technician. If neither can take it, a callback is booked and both get the summary.
