Inbound: the customer calls

"When do we get our photos?" gallery updates

Five weeks after the wedding, the couple calls, a bit anxious. They hear exactly where their gallery is, sneak peek out, editing underway, delivery expected the week of the 20th, and if it's already delivered, the link is texted again while they're still on the line.

When it starts

A client calls about their photos, a sneak peek, a lost link or a download problem.

What the agent does

Reads the gallery's status, gives the delivery window, resends links, flags late ones to you.

What your team gets

Fewer anxious emails, and an alert for any gallery past your promised time.

How it works

  1. Finds the session

By name, phone number or wedding date, and confirms which session.

  2. Gives the status

Culling, editing, sneak peek sent, or delivered, from the gallery itself.

  3. Gives your delivery window

Your standard turnaround for that session type, counted from their date.

  4. Resends the link

A delivered gallery is texted again, with your instructions for downloading and the password if there is one.

  5. Flags anything late

A gallery past your promised window goes to you as an alert, with the client's words.

Example call

  1. CustomerHi, we got married five weeks ago and haven't seen our photos yet. Just wondering when.
  2. AI agentCongratulations again, Hannah. Your gallery is in final editing. Maya's delivery time for weddings is six to eight weeks, so expect it the week of the 20th.
  3. CustomerOkay, that's not too bad. We did get the sneak peek.
  4. AI agentGood, those were from the ceremony. The full gallery will have around 600 photos. I'll make sure you get a text the moment it's ready.
  5. CustomerPerfect. Can my mom see it too?
  6. AI agentYes, you can share the link with anyone. I've noted to send it to her as well, if you give me her number.

After the call: Hannah's gallery is marked to text her and her mother when it's delivered. Maya sees the call on the file with no alert, since the gallery is still inside her window.

What your team gets

  • Gallery status answered without you stopping to edit
  • Delivered links resent by text
  • Alerts for galleries past your promised window
  • Family members added to the delivery text
Set up with you: The team sets up a connection to your gallery and studio software (Pixieset, Pic-Time or ShootProof) for each client's gallery status and links, and loads your delivery times by session type.

Questions

Can it fix a download problem?

It resends the link and your download steps. Anything technical beyond that comes to you as a message.

Will it promise a date?

It gives your standard window, counted from their session. It doesn't promise a date you haven't set.

What if a client is upset about the wait?

It listens, says it's passing it on straight away, and you get an alert with their words.
