Outbound: the agent calls

Pre-wedding timeline and family-list calls

Three weeks before the wedding, the questionnaire is still blank. The agent calls the couple, walks through the day in a friendly chat, writes down the family photo groups and the planner's number, and passes them to you for anything that needs your eye.

When it starts

A booked wedding a few weeks out with the questionnaire unfinished.

What the agent does

Collects the timeline, addresses, family groups and vendor contacts; transfers timing questions to you.

What your team gets

A complete day sheet: times, places, family groups and the planner's number.

How it works

  1. Sees what's missing

Which parts of the wedding questionnaire are still blank, three or four weeks before the date.

  2. Walks through the day

Where getting ready happens, the ceremony time, first look or not, the reception venue, sunset portraits.

  3. Writes the family list

The groups for family photos, with names, so nobody is missed on the day. Tricky family situations are noted quietly.

  4. Takes the contacts

The planner, the venue coordinator and a family member who can round people up.

  5. Puts timing questions through

When the couple wants to talk through the day's timeline, it warm-transfers to you, or books a short call.

  6. Builds your day sheet

Everything lands on the wedding file as one sheet you can print or read on your phone.

Example call

  1. AI agentHi Hannah, it's Emma from Maya Lind Photography. Three weeks to go! I wanted to fill in your day with you so Maya has everything. Got ten minutes?
  2. CustomerSure. Getting ready at the Bow Valley Lodge, ceremony at 3 at the Quarry Lake lookout.
  3. AI agentLovely. For family photos after the ceremony, who should be in the groups?
  4. CustomerBoth sets of parents, my grandma, and Liam's brothers. My parents are divorced, so separate shots for them.
  5. AI agentGot it, I've noted separate groups for your mom and your dad. Who's the planner, in case Maya needs her on the day?
  6. CustomerJess at Peak Events. Actually, can I ask Maya whether a first look makes sense?
  7. AI agentOf course. She's at her desk now, I'll put you through and tell her where we are.

After the call: Maya took the first-look question with the day sheet already filled in: hotel, 3 p.m. ceremony at Quarry Lake, family groups with separate parent shots, and Jess at Peak Events as the planner.

Questions

Does it decide the timeline?

No. It writes down the plan the couple has. Advice on timing, light and first looks comes from you.

What if the couple already filled in the questionnaire?

It only asks about what's missing, or skips the call entirely.

Can it call the planner instead?

If the couple says the planner has the details, it can call the planner with the same questions.
