Sitting confirmed, deposit checked, prep explained
A no-show on a six-hour sitting is a lost day for an artist. Every client is called the day before with the time, how to prepare and where to park, and a client who can't make it moves on the call, under your deposit rules.
A tattoo sitting tomorrow, or a deposit that hasn't come in.
Confirms the time, checks the deposit, gives prep and parking, reschedules under your policy.
Sittings that happen, an artist who knows the day is safe, and an open slot offered to the waitlist when one moves.
How it works
- Checks the deposit first
A booking with no deposit gets a reminder call a few days out and a fresh link, before the date is released.
- Calls the day before
The time, the artist, how long the sitting runs, and the studio address and parking.
- Gives the prep
Eat a proper meal, sleep, no drinking the night before, wear something that opens up the spot. From your own prep notes, in plain words.
- Moves it by your rules
Can't make it? It offers two new times and explains what happens to the deposit with the notice they've given, in your wording.
- Fills the gap
A freed day is offered to the artist's waitlist and to clients with a next sitting still to book.
- Tells the artist
Confirmed, moved or quiet, with a note if the client mentioned a change to the design.
Example call
- AI agentHi Alicia, it's Emma from Black Spruce Tattoo. Just confirming your sitting with Sofia tomorrow at 1. Still good?
- CustomerYes! A bit nervous, honestly.
- AI agentThat's completely normal for a first one. Have a good meal before you come, bring water and a snack, and wear a loose sleeve so she can get to your forearm.
- CustomerOkay. Where do I park?
- AI agentThere's free parking behind the building off Queen Street. Plan on about three hours. I'll text you all of this now.
- CustomerPerfect, thank you.
After the call: Sofia's sitting shows as confirmed, with a note that it's Alicia's first tattoo and she's nervous. Alicia has a text with the prep list, the parking and the address.

Questions
Does it keep or refund deposits?
It explains your policy as written. Anything outside it, like a refund request, goes to the studio manager.
Call or text?
Your choice. Many studios text first and call only for long sittings or when there's no reply.
Can it pass along design changes?
Yes. If the client says they want it a bit bigger or a different flower, the artist gets that note before the sitting.
