Inbound: the customer calls

"Did you get my application?" answered

After a busy weekend of viewings, Monday's phone is all applicants asking where they stand. Each hears the status your office entered and which document is still missing, and gets the link to send it.

When it starts

An applicant calls about an application for a suite.

What the agent does

Confirms who they are, reads the status, names what's missing, sends the link.

What your team gets

Missing documents coming in faster and a note on the file for anything more.

How it works

  1. Finds the application

By name and phone number, then the building and suite they applied for. It confirms both before saying anything.

  2. Reads the status

Received, waiting on a document, being reviewed, approved or not going ahead, as your office entered it.

  3. Names what's missing

The second pay stub, the co-signer's ID, a reference who hasn't called back. It texts the upload link on the call.

  4. Explains what happens next

How your office reviews, roughly when they'll hear, and that a suite is held only once your team confirms it.

  5. Puts approved applicants through

An approved applicant ready to sign and plan the move is warm-transferred to the leasing agent.

  6. Notes the rest

Questions about the decision, the deposit or a co-applicant go to the leasing office with the applicant's name and suite.

Example call

  1. CustomerHi, I applied for the studio at 400 Bloor on Saturday. Have you looked at it yet?
  2. AI agentHi, let me find it. I have Daniel Okafor, applying for suite 1108 at 400 Bloor. Is that you?
  3. CustomerThat's me.
  4. AI agentThanks. It's in review, and the office is waiting on one thing: a letter from your employer, since your job started last month. I've just texted you the upload link.
  5. CustomerOh, okay. I can get that today.
  6. AI agentGreat. Once it's in, the office usually has an answer within two business days, and you'll get a call either way.

After the call: The application for suite 1108 shows the call and "employer letter promised today". The letter arrives that afternoon, and the leasing agent finishes the review without having called the applicant once.

What your team gets

  • Status calls answered from the application itself
  • Upload links texted for missing documents
  • Approved applicants put through to the leasing agent ready to sign
  • Questions about the decision noted for the office
  • A daily list of applications still waiting on something
Set up with you: The team sets up a connection to your leasing software and screening service (Yardi RentCafe, Entrata, SingleKey or Naborly) for application status, and agrees with your leasing manager what the agent reads out and what goes to the office.

Questions

Will it approve or turn down an applicant?

No. It reads the status your office entered. Decisions stay with your team.

Can it explain why an application was declined?

It tells the applicant the leasing office will speak with them and passes on their question. It never gives a reason itself.

What about co-applicants and guarantors?

It can tell each of them what's still needed from them, and sends each their own upload link.
