Outbound: the agent calls

Waitlist renters called when a suite opens

A resident gives notice on a two-bedroom, and 30 people on your waitlist asked for exactly that. They get called the same day, in the order you keep, and the suite is shown before it's ever listed.

When it starts

A notice to vacate, or a suite coming back from renovation.

What the agent does

Calls the matching waitlist in order, checks they're still looking, books viewings.

What your team gets

Viewings booked before the suite is advertised, and a tidier waitlist.

How it works

  1. Matches the suite to the list

Building, floor plan, move-in date, pets and parking, against what each waitlisted renter asked for.

  2. Calls in your order

First come first served, or residents asking to transfer first, then the rest. The order you keep is the order it calls.

  3. Checks they're still looking

Many found something else. They're thanked and taken off the list, so it stays real.

  4. Gives the details

The suite, floor, view, date it opens and the posted rent.

  5. Books the viewing

Often while the current resident still lives there, so it books inside the showing windows and notice you set.

  6. Moves down the list

Once the number of viewings you want is booked, the rest hear they're still on the list for the next one.

Example call

  1. AI agentHi Marie, it's Emma from Glebe Gardens. You're on our waitlist for a two-bedroom. One's opening October first. Are you still looking?
  2. CustomerYes! We'd almost given up.
  3. AI agentIt's on the fourth floor facing the park, 2,180 a month with heat and water included. You'd asked about a parking spot, and there's one that comes with it.
  4. CustomerThat sounds perfect. When can we see it?
  5. AI agentThe resident is still there, so viewings are Tuesday or Thursday at 6. ... Tuesday at 6, done. I'll text you the details.

After the call: Marie is booked for Tuesday 6:00, the current resident gets the viewing notice, two renters who found other places come off the waitlist, and the next three on the list hear they're still in line.

What your team gets

  • Suites shown before they're advertised
  • Waitlist cleared of renters who moved on
  • Viewings booked inside the current resident's notice windows
  • Internal transfer requests called first when you choose
  • Days vacant per suite, tracked
Set up with you: The team sets up a connection to your leasing software for notices to vacate and the waitlist, sets the call order and how many viewings to book per suite, and sets the showing windows for occupied suites.

Questions

Does it keep the waitlist order fair?

It calls in the order your office keeps, and every call and answer is logged on the list.

What about current residents who want to move?

If you give transfer requests priority, it calls them first, then the outside waitlist.

Can it show a suite someone still lives in?

It books viewings only in the windows you set, and the current resident is told in advance.
