Inbound: the customer calls

Cooperating broker enquiries logged with client requirements

Tenant reps call several landlords in an afternoon and short-list whoever calls back first. The agent answers on the first ring, takes the full requirement and gets your space on the short list.

When it starts

A broker calls on behalf of a client looking for space.

What the agent does

Takes the brokerage and client requirement, matches your units, sends specs, books a tour.

What your team gets

A broker lead with the requirement in writing and a tour, with commission questions left to you.

How it works

  1. Takes the broker's details

Name, brokerage, phone and email, and whether they represent the client on an exclusive basis.

  2. Writes down the requirement

Use, size range, location, timing, term, budget, parking and any must-haves like a dock door or a corner unit.

  3. Matches your units

Reads which of your listed units fit, with the size and asking rent, and is clear about which ones don't.

  4. Sends the specs

A text or email with the brochure, floor plan and site plan for each matched unit, right after the call.

  5. Books the tour

For the broker and client together, on the rep's calendar, with a confirmation to the broker.

  6. Leaves commission to you

Questions about the cooperating fee or offer terms go to your leasing rep as a message.

Example call

  1. CustomerHi, it's Lauren Mitchell with Harbourfront Commercial. I have a client, a physio clinic, looking for 2,500 to 3,000 square feet in Halifax.
  2. AI agentThanks, Lauren. We have Suite 210 at Quinpool Centre, 2,740 square feet, second floor with an elevator, asking 22 a foot net. Does your client need ground floor?
  3. CustomerElevator is fine. They need four treatment rooms and good parking.
  4. AI agentThe suite was a dental office, so the plumbing is in place, and there are 120 shared stalls. I'll email you the floor plan now. When would they like to see it?
  5. CustomerNext Tuesday afternoon. Also, what's the co-op fee?
  6. AI agentI'll have Omar, the leasing rep, confirm the fee with you directly. I have Tuesday at 2 or 3:30 with him.
  7. Customer2 works.

After the call: Omar has a Tuesday 2:00 tour of Suite 210 with Lauren and her client, the physio clinic requirement in the lead, and a note to call her about the cooperating fee. Lauren already has the floor plan by email.

What your team gets

  • Broker leads with brokerage, client and full requirement
  • Matching unit specs emailed within a minute of the call
  • Tours booked for the broker and client together
  • Fee and terms questions passed to the rep
  • A list of which brokers are active on your properties
Set up with you: The team sets up a connection to your leasing CRM, listing brochures and reps' calendars, and agrees with your leasing manager which files go to brokers and how fee questions are handled.

Questions

Does it quote the cooperating fee?

Only if you tell it to. Most landlords have the leasing rep confirm the fee directly, and it takes that message.

Can it send brochures and floor plans?

Yes. It texts or emails the files you load for each unit, right after the call.

What if nothing fits the requirement?

It says so plainly, keeps the requirement on file, and lets the rep know in case something comes up.
