Inbound: the customer calls

Report questions routed to the inspector who wrote it

The report lands at 7 p.m. and the buyer has questions by 7:15. The agent finds the section they mean, writes the question up clearly for the inspector, and puts a worried buyer straight through.

When it starts

A buyer or realtor calls with a question about a report.

What the agent does

Finds the report and section, takes the question in their words, transfers or messages the inspector.

What your team gets

A clear question with the report section, not a vague "please call me".

How it works

  1. Finds the report

By address or the buyer's name, and confirms the caller is the client or their realtor.

  2. Finds the section

Roof, attic, electrical, foundation. She reads the heading and the finding back, so the question is about the right line.

  3. Explains the report's words

What your report means by "monitor", "repair" or "safety concern", from the definitions in your own template.

  4. Never interprets the finding

Whether the roof needs replacing or the house is a good buy stays with the inspector, and she says so warmly.

  5. Messages or transfers

A routine question goes to the inspector as a written message. A buyer worried about a serious finding before their deadline is warm-transferred.

  6. Books a re-visit if asked

A second look with a contractor or a re-inspection after repairs goes on the calendar at your price.

Example call

  1. CustomerHi, I got the report for 52 Elgin Street. The roof section says "monitor". What does that mean?
  2. AI agentIn your report, "monitor" means it's not a repair needed now, but something to keep an eye on. I can see the line: "shingles at south slope show granule loss, monitor."
  3. CustomerOkay, but does that mean we need a new roof soon? We have to firm up tomorrow.
  4. AI agentThat's a question for Lisa, who inspected it. Since your deadline is tomorrow, I'll put you through to her now if she's free.
  5. AI agent(privately, to Lisa) 52 Elgin Street buyer, deadline tomorrow. Asking about the south slope granule loss, monitor item, and how soon the roof may need replacing. Connecting.
  6. CustomerThank you.

After the call: Lisa takes the call knowing the address, the exact roof line and the deadline. The call summary is attached to the inspection, and the realtor gets nothing unless the buyer asks.

What your team gets

  • Questions written up with the exact report section
  • Your report's own definitions read in plain words
  • Warm transfers when a buyer is worried and short on time
  • Re-inspections and contractor visits booked at your price
  • Every report call attached to the inspection
Set up with you: The team sets up a connection to your inspection software so she can find each report and its sections, loads your report definitions, and agrees which questions get a transfer and which a message.

Questions

Will it tell a buyer whether to walk away?

No. It reads what the report says and what your terms mean. Advice on the finding comes from the inspector.

Can the realtor call with questions?

Yes, if the buyer allows it in your agreement. It confirms the realtor is on the file first.

What if the inspector is on another job?

It takes the question in writing with the report section, and tells the buyer when the inspector usually calls back.
