Inbound: the customer calls

Warranty claims logged with photos, by room

The warranty line gets every nail pop, sticky patio door and cracked tile in the first year. Each call becomes a clean claim, and the real emergencies reach your on-call technician that night.

When it starts

A homeowner calls the warranty line about something in their newly closed house.

What the agent does

Logs each item by room with photos, explains your process, transfers no heat, no water or active leaks.

What your team gets

A claim ready for the service team, and an on-call tech who already knows the address.

How it works

  1. Finds the house

By address or lot, with the closing date, so the team knows which warranty period the claim falls in.

  2. Checks for an emergency first

No heat in January, no water, an active leak or a sewer backup goes to the warranty on-call technician right away, with a private summary.

  3. Logs item by item

Room, what it is, where exactly, since when. "Master ensuite, grout cracking along the tub, noticed in March."

  4. Asks for photos

A text goes out asking for photos of each item, and what comes back is filed with the claim.

  5. Explains the process

Your 30-day and year-end lists, how items are reviewed, and when your service team books visits, as you describe it.

  6. Books the service visit

Once the team has reviewed the claim, she calls back to book the trade visit at a time the homeowner can be home.

Example call

  1. CustomerHi, we moved into our house in Kanata in the summer. A few things have come up, and it's cold in the basement.
  2. AI agentI can log all of it. First, is the furnace running? Do you have heat in the house right now?
  3. CustomerYes, upstairs is fine. The basement's just chilly.
  4. AI agentThanks. I'll note the basement temperature. What else have you noticed? Let's go room by room.
  5. CustomerNail pops in the living room ceiling, and the sliding door to the deck is hard to lock.
  6. AI agentGot it. Living room ceiling, nail pops. Patio door, hard to lock. Basement noticeably colder than the main floor. I'll text you now so you can send photos of each one.
  7. CustomerIs the door covered?
  8. AI agentThe warranty team reviews each item and decides that. They review claims within five business days, and I'll call you to book the visit once they have.

After the call: The warranty team has a three-item claim for the Kanata house with its closing date, the homeowner's photos arrive by text and attach to the claim, and the basement temperature item is flagged for the HVAC trade.

What your team gets

  • Claims logged by room, with photos attached
  • Each claim matched to the house and its closing date
  • No-heat, no-water and leak calls warm-transferred to the on-call tech
  • Service visits booked once claims are reviewed
  • Every homeowner's warranty calls kept in one history
Set up with you: The team sets up a connection to your warranty and customer care system (Buildertrend, Procore or BuildTopia), loads your warranty process and on-call rota, and agrees which problems are emergencies.

Questions

Does it tell homeowners what's covered?

No. It logs the claim and explains your process. Coverage decisions belong to your warranty team.

What counts as an emergency?

Whatever you list. Most builders choose no heat, no water, an active leak, a sewer backup and a lost electrical service.

Can homeowners submit their year-end list by phone?

If you allow it, yes. It takes each item by room and sends the list to your team, with photos by text.

Does it book the trades?

Once your team has reviewed the claim, it calls the homeowner to book the trade visit in the time slots you set.
