Outbound: the agent calls

PDI walk-throughs booked ahead of closing

The PDI is the purchaser's first real look at the finished house, and it sets the tone for the whole warranty year. The agent books every one on time and makes sure they arrive knowing what to expect.

When it starts

A firm closing date three to four weeks away and no PDI booked.

What the agent does

Calls to book the walk-through, explains how it runs and how items are noted, confirms the day before.

What your team gets

PDIs booked on the customer service rep's calendar, and purchasers who arrive prepared.

How it works

  1. Builds the list

Every lot closing in the weeks you choose, with no PDI on the calendar.

  2. Calls with the closing date

Confirms the purchaser knows their date and explains the PDI is a walk-through of the finished house with your rep.

  3. Sets expectations

About 90 minutes, who can come, that any scratch, chip or unfinished item is written on the form, and how fixes are scheduled after.

  4. Books the time

Two open slots on the rep's calendar, usually a few days before closing, and a text with the address and what to bring.

  5. Confirms the day before

A short reminder with the time, a note that work boots are not needed, and the rep's name.

  6. Passes on concerns

If the purchaser mentions a worry, like a colour that looked wrong on the last site visit, it goes to the rep before the PDI.

Example call

  1. AI agentHi Mr. Adeyemi, it's Emma from Northshore Homes. Your house on Fairview Lane closes on November 6, and I'm calling to book your pre-delivery inspection. Is now okay?
  2. CustomerYes. What happens at it?
  3. AI agentYou walk the finished house with Greg, our customer care rep, for about an hour and a half. Anything that's scratched, missing or not finished goes on the form, and the team books the fixes after closing.
  4. CustomerCan my wife and her brother come? He's a contractor.
  5. AI agentOf course. I have Monday, November 2 at 10 or Tuesday, November 3 at 3.
  6. CustomerTuesday at 3.
  7. AI agentYou're booked Tuesday, November 3 at 3 with Greg. I'll text you the time and a short list of what to bring, and remind you the day before.

After the call: Greg's calendar shows the Fairview Lane PDI on November 3 at 3, the purchaser has the confirmation and the bring-along list, and a reminder is set for November 2.

What your team gets

  • A PDI on the calendar for every closing, booked ahead
  • Purchasers told how the walk-through runs before they arrive
  • Day-before reminders, with moves rebooked on the call
  • Concerns passed to the customer care rep before the walk-through
  • A weekly list of closings still missing a PDI
Set up with you: The team sets up a connection to your construction schedule, closing calendar and customer care calendar, and agrees with your customer care manager how far ahead to call and what purchasers are told about the PDI form.

Questions

Does it promise which items will be fixed?

No. It explains that everything is written on the form and your team schedules the follow-up. What gets fixed is your team's call.

What if the closing date moves?

When the date changes on file, the PDI is rebooked and the purchaser gets a call or text with the new time.

Can the purchaser bring someone?

It tells them your rule, whether family, a friend or their own inspector can come, and notes who is coming.
