Inbound: the customer calls

"What stage is our lot at?" answered from the build schedule

Purchasers drive past the site on Sunday, see nothing happening and call on Monday. The agent tells them where their house really is, so the site super and the closings team get their week back.

When it starts

A purchaser calls asking about progress, a quiet site or their closing date.

What the agent does

Finds their lot, reads the build stage and closing date, explains what comes next.

What your team gets

Fewer calls to the site, and a message to closings for anything that needs a person.

How it works

  1. Finds the lot

By name, lot number or street address, and confirms the community and model before saying anything.

  2. Reads the stage

Footings, framing, roofed in, drywall, trim, final grade. From the construction schedule, in plain words.

  3. Explains a quiet site

"Drywall is curing and the trades come back next week" makes sense of a site that looks empty from the road.

  4. Gives the closing date on file

The firm or tentative closing date as it stands, and how much notice you give if it moves.

  5. Takes requests for closings

A request to move the date, add a site visit or a question for the purchaser's lawyer goes to the closings coordinator as a clear message.

  6. Offers updates by text

If they'd like, they get a text each time the lot reaches a new stage.

Example call

  1. CustomerHi, we bought lot 47 in Meadowlands. We drove by and there's nobody there. Is something wrong?
  2. AI agentLet me check lot 47 for you. Is this Jordan Pelletier? ... Thanks. Your house is at insulation and drywall. The drywall is drying now, and the trim carpenters are scheduled to start next Tuesday.
  3. CustomerOh, okay. So we're still on for closing in September?
  4. AI agentYour firm closing date is still September 18. If anything ever changes, the closings team gives you written notice.
  5. CustomerCould we walk through before then? My dad wants to see it.
  6. AI agentSite visits are booked by the closings team for safety. I'll ask Melissa to call you with times. Would you like a text each time your house reaches a new stage?
  7. CustomerYes please.

After the call: Melissa in closings gets a message that the Pelletiers on lot 47 want a site visit with a family member, and Jordan is signed up for a text at each new build stage.

What your team gets

  • Stage and closing calls answered from the schedule
  • Site visit and date-change requests sent to closings with the lot number
  • Stage-by-stage texts for purchasers who want them
  • Fewer calls landing on site supervisors
  • Each purchaser's calls kept in one history in the portal
Set up with you: The team sets up a connection to your construction schedule (Buildertrend or Procore) and sales CRM so she can read each lot's stage and closing date, and agrees with your closings team what she reads out and what becomes a message.

Questions

Can it move a closing date?

No. It reads the date on file and sends any request to change it to your closings coordinator.

Will it explain a delay?

It reads the reason your team has noted, like a framing crew backlog or a weather hold. If there's no note, it says closings will call with details.

Can purchasers visit the site?

It never invites anyone onto an active site. Visits go through your closings team, booked on their terms.

Does it tell purchasers when their stage changes?

Yes, if they sign up. A text goes out each time the lot's stage moves on the schedule.
