Outbound: the agent calls

Design centre selections booked before the cutoff

A purchaser who misses the selection cutoff holds up the framing schedule and loses upgrade revenue. The agent books every purchaser in good time and gets them in the door ready to choose.

When it starts

A firm deal, a selection cutoff date coming, or a purchaser who hasn't booked yet.

What the agent does

Calls with their cutoff date, books the session, explains what to bring, confirms the day before.

What your team gets

A full design centre calendar and no lots held up waiting on selections.

How it works

  1. Finds who hasn't booked

Every firm deal with a selection cutoff ahead and no design appointment yet, oldest cutoff first.

  2. Calls with their date

"Your selections for lot 112 are due by June 6." The purchaser hears the real date on their own house.

  3. Explains the session

How long it runs, that both purchasers should come, bring the floor plan and photos of what they like, and how upgrades are priced on the day.

  4. Books two sessions if needed

Many builders split it into a first visit for exterior colours and flooring and a second for cabinets and electrical. She books both.

  5. Confirms the day before

A short call or text with the time and address. A move is rebooked on the spot so the consultant's day stays full.

  6. Flags a late one

A purchaser who can't book before the cutoff goes to the design manager with the reason, before construction feels it.

Example call

  1. AI agentHi Mrs. Kowalczyk, it's Emma from Lakehead Homes. It's about your design centre appointment for the house on Birchwood Crescent. Is now okay?
  2. CustomerOh yes, we were going to call you.
  3. AI agentYour selections are due by May 22. The first session covers exterior colours, flooring and tile, and runs about three hours. Both of you should come if you can.
  4. CustomerMy husband works days. Do you have a Saturday?
  5. AI agentI have Saturday, May 2 at 9 or Saturday, May 9 at 1 with Nadia. And I'd book the cabinet and lighting session two weeks after.
  6. CustomerMay 2 at 9, and the second one whenever works.
  7. AI agentDone. May 2 at 9, then May 16 at 9 for cabinets and lighting. Bring your floor plan and any photos you've saved. I'll text you both times.

After the call: Nadia's calendar has both sessions for the Birchwood Crescent lot, the purchaser record shows them booked ahead of the May 22 cutoff, and the confirmations went out by text.

What your team gets

  • Design sessions booked for every purchaser ahead of their cutoff
  • First and second sessions booked together
  • A day-before confirmation, with moves rebooked on the call
  • An early warning list of purchasers at risk of missing a cutoff
  • Consultant calendars kept full on weekends
Set up with you: The team sets up a connection to your sales CRM, design centre calendar and construction schedule for lot cutoffs, and agrees with your design manager how sessions are split and how far ahead to call.

Questions

Does it quote upgrade prices?

It can tell purchasers how upgrades are priced at the session, from your instructions. The prices themselves come from the design consultant on the day.

What if the purchasers live out of town?

It offers virtual sessions if you run them, or books the first in-person session and a video follow-up.

Can it remind them of the cutoff again?

Yes. If they won't book on the first call, it asks when to call back and reminds them before the date gets close.
