Outbound: the agent calls

Rent-day reminders and returned payment calls

Most late rent is a forgotten date or a bank change, not a refusal. A friendly call before the first and another the day a payment is returned settles most of them before accounting has to pick up the phone.

When it starts

Rent due in three days, a payment returned by the bank, or a balance still open on the fifth.

What the agent does

Reminds, explains what came back, records the tenant's plan to pay.

What your team gets

A promised-to-pay date on each ledger and a short list for accounting.

How it works

  1. Reminds before the first

A text or short call a few days before rent is due to tenants who pay by e-transfer or cheque, or who were late before.

  2. Calls when a payment comes back

The same day the bank returns it, with the amount from the ledger and any returned payment fee your lease sets.

  3. Keeps it kind

No threats and no lectures. It asks what happened and when they can pay.

  4. Records the plan

The date and the way they'll pay, on the ledger. A text confirms it with your e-transfer address or payment link.

  5. Hands off the hard ones

A tenant asking for a payment plan, disputing the balance or describing a job loss goes to your accounting lead with the details.

  6. Follows up on the date

If the promised payment isn't in by that date, accounting gets the account on the next morning's list.

Example call

  1. AI agentHi Jordan, it's Emma from Northshore Rentals. Is now an okay time? It's about this month's rent at 12 Birch, unit 2.
  2. CustomerUh, yeah. Is something wrong?
  3. AI agentThe pre-authorized payment of 1,640 came back from the bank this morning. Sometimes that's just a changed account. Do you know what happened?
  4. CustomerOh no. I switched banks last week. I forgot to update it.
  5. AI agentThat happens a lot. Can you send it by e-transfer this week? There's also the 25 dollar returned payment fee from your lease.
  6. CustomerI can do Friday.
  7. AI agentFriday it is. I'll text you the e-transfer address and the form to update your bank details, so next month goes through on its own.

After the call: The ledger for 12 Birch, unit 2 shows the returned payment, the fee and "e-transfer Friday, changed banks". Jordan has the address and the form. If the money isn't in Friday, accounting sees the account on Monday's list.

What your team gets

  • A promised-to-pay date and method on each ledger
  • Returned payments called the same day
  • New bank details forms sent to tenants who changed accounts
  • Payment plan requests and disputes routed to your accounting lead
  • A morning list of promises that weren't kept
Set up with you: The team sets up a connection to your property management and accounting software (Yardi, Buildium, AppFolio or Rent Manager) for ledgers and returned payments, and sets the reminder timing, the wording and who handles plans and disputes.

Questions

Will it threaten a tenant?

No. It reminds, asks what happened and records a plan. Anything about notices or next steps comes from your team.

Can it agree to a payment plan?

No. It takes the request with the tenant's reasons and passes it to accounting, who decides.

Which tenants does it call?

The ones your rules pick: everyone, only those who pay by cheque or e-transfer, or only those with a late payment in the past year.

Can it take the payment on the call?

It texts the payment link or e-transfer address you use, so the tenant pays the usual way.
