Outbound: the agent calls

Tenants told when the trades are coming in

A pest control visit across 40 units fails when half the doors are chained and the kitchens aren't cleared. Every tenant gets a call with the date, the prep and a real answer to "can I be home?", and the vendor gets a clean access list.

When it starts

A vendor visit, a furnace or smoke alarm round, or an inspection on your schedule.

What the agent does

Calls each tenant with the date and prep, records access and pets, handles reschedules.

What your team gets

An access list for the vendor and a list of units that still need a person.

How it works

  1. Builds the list

From the visit on your schedule: which property, which units, the window and what the tenant needs to do to get ready.

  2. Calls with the details

The date, the window, who is coming and why, in plain words. A text follows with the same details.

  3. Explains the prep

Your instructions for that job: clear under the sink and the stove, move furniture from the walls, keep pets in a carrier.

  4. Settles access

Home or not, entry with the master key or not, pets, and anything the trade should know, like a newborn sleeping.

  5. Handles the can't-do-its

A tenant on night shift or with a health concern gets a note for the coordinator and, where the vendor allows, a later slot.

  6. Sends the access list

The vendor and your coordinator get unit-by-unit access, pets and notes the day before.

Example call

  1. AI agentHi, is this Mr. Haddad in unit 207 at 55 King? It's Emma from Lakeview Property Management. Got a minute about a pest control visit?
  2. CustomerSure. Is there a problem?
  3. AI agentIt's the building's regular treatment. Orkin is coming Wednesday between 9 and noon. They ask that you clear the cupboards under the sink and move things away from the kitchen walls. Will you be home, or is it okay to enter with the key?
  4. CustomerI'll be at work. You can go in.
  5. AI agentThanks. Any pets?
  6. CustomerA budgie. Should I move him?
  7. AI agentYes, please cover the cage and move it to the bedroom. I'll note it for the technician, and I'll text you the prep list now.

After the call: Unit 207 is marked "enter with key, budgie in bedroom, covered" on Wednesday's access list, the tenant has the prep text, and the coordinator sees three units still unreached the evening before.

What your team gets

  • A unit-by-unit access list for each vendor visit
  • Prep instructions sent to every tenant by text
  • Pets and special notes on the list before the trade arrives
  • Tenants who need another day flagged for the coordinator
  • Fewer return visits for doors that were chained
Set up with you: The team sets up a connection to your property management software and vendor schedule, loads the prep instructions for each kind of visit, and sets how far ahead tenants are called and texted.

Questions

Does it replace the written notice?

It calls and texts on top of the notice you already post or send, so tenants actually know the visit is coming.

What if a tenant refuses entry?

It notes it, stays polite, and flags the unit for your coordinator. It never argues the point.

Can it call a whole building at once?

Yes. It works through every unit on the visit, calls back the ones who didn't answer, and texts the rest.

Can it do furnace and smoke alarm rounds?

Yes. Any visit that needs units opened, from filter changes to window replacements, with the prep you set for each.
