Outbound: the agent calls

Showing requests confirmed with the sellers

A buyer agent books three houses for Saturday and needs answers by Friday night. Your sellers get a quick call for each request, say yes or suggest another time, and the buyer agent hears back while yours are out showing.

When it starts

A showing request on one of your listings.

What the agent does

Calls or texts the sellers or tenants, gets a yes, no or new time, confirms back.

What your team gets

Showings confirmed on the listing, with the sellers' instructions attached.

How it works

  1. Sees the request

The time, the buyer agent's brokerage and any note. Requests that fit the sellers' standing rules are confirmed on the spot.

  2. Calls the people who live there

The sellers, or the tenant on a tenanted listing, by call or text the way they asked to be reached.

  3. Gets the answer

Yes, no, or another time that works. A seller who says "not before 11 on weekends" has that added to their rules.

  4. Records the instructions

The lockbox, the dog in the crate in the laundry room, lights on, shoes off. Read to the buyer agent with the confirmation.

  5. Confirms back

The buyer agent gets the confirmation and instructions by text and email within minutes of the seller's answer.

  6. Gathers feedback after

A short call or text to the buyer agent the next day for feedback, which the listing agent can pass to the sellers.

Example call

  1. AI agentHi Mrs. Laporte, it's Emma from Westbrook Realty. A buyer agent from Royal Crest would like to show your house Saturday at 3:15. Does that work?
  2. CustomerSaturday at 3:15... we have the kids' hockey until 3. Could it be 4?
  3. AI agentI'll ask for 4 instead. Anything they should know this time?
  4. CustomerThe cat might be out. Please don't let her outside.
  5. AI agentI'll put that at the top of the instructions. I'll text you once the buyer agent confirms 4.
  6. CustomerThanks, Emma.

After the call: The buyer agent gets a counter-time of 4:00 with "cat may be loose, don't let her out", accepts it, and the Laportes get a text. The listing agent sees the showing on the listing without a single call of her own.

What your team gets

  • Showing requests answered while your agents are busy
  • Each seller's standing rules saved and used next time
  • Instructions sent to the buyer agent with every confirmation
  • Next-day buyer agent feedback collected for the seller update
  • A showing log per listing for the weekly report
Set up with you: The team sets up a connection to your showing service (BrokerBay or ShowingTime) and listing feed, records each seller's and tenant's preferred contact and standing rules, and sets who on your team sees each answer.

Questions

Does it talk to tenants on tenanted listings?

Yes. It calls the tenant for each request, respecting the notice your listing agent set, and records their answer and instructions.

Will it share the lockbox code?

Only as your listing instructions allow, and only with the confirmed buyer agent, never with the public.

What feedback does it ask for?

Your questions: what they thought of the price, the condition and the layout, and whether an offer is coming. Answers go to the listing agent.

What if the sellers don't answer?

It tries a text, then the second seller, then tells the listing agent before the request runs out of time.
