Inbound: the customer calls

Gate code trouble with a loaded truck, after hours

A tenant at the gate at 8 p.m. with a rented truck and a mover on the clock is the angriest caller a facility gets. The agent sorts the simple cases in a minute and gets the rest to your on-call manager with the facts.

When it starts

A tenant calls because the gate keypad won't let them in or out.

What the agent does

Checks access hours and the account, walks through the keypad steps, transfers the rest to on-call.

What your team gets

Fewer late-night calls to the manager, and a brief when one does come through.

How it works

  1. Finds the tenant

By name or unit number, and confirms they're on the account.

  2. Checks the hours

Access hours run 6 a.m. to 10 p.m.? A caller at 10:20 hears the hours kindly and when they can get in.

  3. Checks the account

A past-due account that's locked out is explained plainly, with the payment link and how access comes back.

  4. Walks the keypad

Code then the pound key, wait for the tone, the keypad on the left lane. The steps your site uses.

  5. Transfers if still stuck

A tenant who should be getting in and can't goes to the on-call site manager, with a private summary first.

  6. Logs it for the morning

Every gate call is noted, so a keypad acting up shows up as a pattern, not a surprise.

Example call

  1. CustomerI'm at your gate on Kingsway with a truck full of stuff and my code isn't working.
  2. AI agentLet's get you in. What's your name or unit number?
  3. CustomerRaj Malhotra, unit 214.
  4. AI agentThanks, Raj. Your account is in good standing and access is open until 10. Try your code, then the pound key, and wait for the beep before you drive up.
  5. CustomerDid that three times. Nothing.
  6. AI agentThen it needs a person. I'm connecting you to Dave, the on-call manager, now. Stay by the keypad.
  7. AI agent(privately, to Dave) Raj Malhotra, unit 214, account current. At the Kingsway gate with a loaded truck, code plus pound tried three times, no response. Connecting.

After the call: Dave picks up knowing the unit, that the account is current and what's been tried, resets the code remotely, and the gate call goes on the morning log with the keypad flagged for a check.

What your team gets

  • Simple gate calls solved without waking anyone
  • On-call transfers with the account and what was tried
  • Past-due lockouts explained with a payment link
  • A log of every gate call, for spotting keypad faults
Set up with you: The team sets up a connection to your facility management and gate access software (SiteLink, storEDGE, PTI or OpenTech) so she can see account status and access hours, and loads your keypad steps and on-call rota.

Questions

Can it open the gate or change a code?

No. It checks the account and the steps, and the on-call manager handles anything that needs the gate system itself.

What if the tenant is past due?

It explains why the code is locked, texts the payment link, and tells them how quickly access comes back after paying, as your site works.

Does it call the manager for every gate call?

No. Only when the account is current, it's inside access hours, and the steps didn't work. Everything else is sorted on the call.
