Inbound: the customer calls

Fridges that quit written up for the service department

A fridge that stopped cooling on a Sunday gets a service request with the model, serial number and purchase date, marked urgent, and a technician time. Not a voicemail heard on Monday.

When it starts

A customer calls because an appliance or TV stopped working, leaks, makes a noise or shows an error.

What the agent does

Finds the purchase, takes the model and serial, records the symptom, flags urgent ones, books the tech.

What your team gets

A complete service request, coverage checked, and a technician visit on the schedule.

How it works

  1. Finds the purchase

By name, phone or invoice number, so the model, serial number and purchase date come from the sale, not the back of the fridge.

  2. Records the symptom

What it's doing in the customer's words: not cooling, leaking under the door, an error code on the display, a line across the TV screen.

  3. Flags what can't wait

A fridge or freezer losing cold, a washer that won't drain, water on the floor. These are marked urgent for the service department.

  4. Checks coverage

Maker's warranty, your protection plan, or neither. It reads the dates and what's covered as written.

  5. Books the technician

Two open times on the service schedule, sooner for urgent jobs, with a note to keep the model and serial handy.

  6. Never troubleshoots

It doesn't guess at the fault or quote a repair. It may read the maker's own simple checks, like whether the breaker tripped, if you've approved them.

Example call

  1. CustomerOur fridge isn't cold anymore. We bought it from you last spring. The freezer's still okay but everything in the fridge is warm.
  2. AI agentThat's stressful, let's get someone out. Can I have the name on the purchase?
  3. CustomerMoreau, on Elm Street.
  4. AI agentI have your LG French-door fridge, bought April 12. It's under the maker's warranty, and you also have our five-year plan. Is there anything on the display, like a code?
  5. CustomerIt says E and F, I think.
  6. AI agentThanks, I've written that down for the technician. I've marked this urgent. Chris can come tomorrow between 8 and 12. Does that work?
  7. CustomerYes, please.
  8. AI agentYou're booked. Until then, keeping the fridge door closed helps. I'll text you the time and your service number.

After the call: An urgent service request opens with the LG model, serial number, purchase date, the "E F" code and "fridge warm, freezer okay". Chris has tomorrow's 8 to 12 visit, and the customer has a service number by text.

What your team gets

  • Service requests with model, serial number and purchase date from the sale
  • Spoiling-food and water-on-the-floor calls flagged urgent
  • Warranty and protection plan coverage noted on the request
  • Technician visits booked on the service schedule
  • Error codes and symptoms in the customer's own words
Set up with you: The team loads your service rules, urgent cases and approved simple checks, and sets up a connection to your point of sale, protection plan records and service scheduling (ServiceTitan, Service Power or your service log).

Questions

Does it diagnose the problem?

No. It records what's happening and any code, and the technician diagnoses. It reads only the simple checks you approve.

What if it's out of warranty?

It says so, reads your service call fee from your price list, and books the visit if the customer wants it.

Can it handle a TV with a line on the screen?

Yes. It takes the model, serial and purchase date, and books a bench repair or a home visit by your rules.
