Outbound: the agent calls

Truck-day calls with the ETA and stops ahead

The truck doesn't pull up to an empty house. Customers hear "you're third, around 10:40", and the one who forgot is rebooked while the crew is still two stops away.

When it starts

The morning a delivery is on the route, and when the truck is two stops away.

What the agent does

Calls with the ETA, confirms someone is home and the space is clear, rebooks anyone who can't be there.

What your team gets

A route that runs, and crew time not wasted on missed stops.

How it works

  1. Calls the morning of

The window, what's coming, and a reminder to clear the path and have the old unit unplugged and empty.

  2. Confirms someone's home

An adult has to be there to sign. If nobody can be, it moves the delivery right then.

  3. Calls two stops out

"The crew is two stops away, about 25 minutes." Read from the truck's live position.

  4. Rebooks the missed stop

If the customer won't be home, it offers the next open window and tells the driver to skip the stop.

  5. Answers the inbound check

A customer who calls asking where the truck is hears the ETA and the number of stops ahead.

  6. Sends the wrap-up

After the stop, a text confirming delivery and how to reach the store if something isn't right.

Example call

  1. AI agentHi, is this Ravi? It's Emma from Prairie Appliance. Your washer and dryer are on today's truck. You're the third stop, around 10:40.
  2. CustomerOh no, I thought it was tomorrow. I'm at work until three.
  3. AI agentNo problem. Is there an adult at home who can sign for it?
  4. CustomerNo, nobody's home today.
  5. AI agentThen let's move it. I have tomorrow from 1 to 5 or Saturday from 8 to noon.
  6. CustomerSaturday morning is great.
  7. AI agentSaturday 8 to noon it is. I've let the driver know to skip today, and I'll text you the new window.

After the call: The driver's route drops the stop before the truck reaches the street, Saturday's route has the washer and dryer, and the crew saves a wasted trip to an empty house.

What your team gets

  • Missed stops caught and rebooked before the truck arrives
  • ETA calls from the truck's live position
  • Drivers told to skip a stop while there's still time
  • Delivered texts with how to reach the store
  • A weekly count of failed deliveries, before and after
Set up with you: The team sets up a connection to your delivery routing and driver app (Descartes, Track-POD or Onfleet) so the agent reads the route and the truck's position, and sets when the morning and two-stops-out calls go out.

Questions

Call or text?

You choose. Many stores text the morning of and call only when there's no reply or the customer needs to move it.

Can the customer change the window?

Yes, to any open window on the routes for their area. The driver is told right away.

What about condo deliveries?

It reminds the customer to book the freight elevator and notes the building's delivery hours for the crew.
