Inbound: the customer calls

6:30 a.m. contractor orders taken from the truck

The framer calling from the coffee shop at 6:15 gets the order taken, the PO written down and a delivery window, instead of a recording with your hours. He keeps buying from you.

When it starts

A contractor calls with a material list, any hour, often before the yard opens.

What the agent does

Takes the list against their account, checks stock, books the delivery, puts large quotes through.

What your team gets

Orders ready to pull at open, and a contractor desk not buried under the 7 a.m. rush.

How it works

  1. Knows the account

From the caller's number or the company name, with the account's pricing level and who's allowed to order on it.

  2. Takes the list

Line by line, the way a contractor says it: "forty 2x6 at ten, two boxes of three-inch screws, a roll of Tyvek." It reads the list back.

  3. Gets the PO and site

The PO number, the job name and the site address, with any job-site notes from past deliveries.

  4. Checks the counts

Flags anything short on hand and when more arrives, so the crew knows before the truck leaves.

  5. Books the delivery

The window, flatbed or boom, and where to drop the load. Or a pickup time at the yard.

  6. Puts quotes through

A full house package, a new account or special pricing goes to the contractor desk with the list already written.

Example call

  1. CustomerMorning, Steve from Hartwell Builders. I need forty 2x6 at ten feet, twenty sheets of half-inch OSB and two boxes of framing nails on site today.
  2. AI agentMorning, Steve. Forty 2x6 at ten, twenty sheets of half-inch OSB, two boxes of framing nails. Which nails, the 3-and-a-quarter for your gun?
  3. CustomerYeah, the usual.
  4. AI agentAll in stock. What's the PO, and is it the Dufferin Street job?
  5. CustomerSame job, PO 4471.
  6. AI agentI can get it there between 10 and noon on the flatbed. Same spot as last time, by the back fence?
  7. CustomerPerfect.
  8. AI agentBooked, 10 to noon at Dufferin, PO 4471, drop by the back fence. I'll text you the order and the window.

After the call: The yard has the order ready to pull at 7 on the Hartwell account with PO 4471, the flatbed is booked 10 to noon, and the drop note from the last delivery carries over.

What your team gets

  • Orders on the right contractor account with the PO and job
  • Lists read back before they're sent, so nothing is misheard
  • Shortfalls flagged before the truck is loaded
  • Job-site notes carried from one delivery to the next
  • Big quotes and new accounts put through to the contractor desk
Set up with you: The team loads your contractor accounts and who can order on each, and sets up a connection to your yard system (Epicor BisTrack, Spruce or Paladin) so orders, counts and pricing levels come from the account.

Questions

Does it give contractor pricing?

It reads the price on the account's level from your system. Special pricing and big quotes go to the desk.

Can anyone order on an account?

Only the names you list for each account. Anyone else is taken as a message for the desk.

Will contractors put up with it?

It takes the list the way they say it and reads it back fast. They can ask for a person any time.
