Custom windows and doors: arrival calls
The custom windows ordered six weeks ago don't sit in the yard taking up space. The customer hears the day they arrive and books the delivery for the day the installer is there.
A special order is received: windows, doors, cabinets, trusses or a custom stair.
Calls the customer, confirms the pieces, books pickup or delivery, mentions any balance.
Yard space freed up, and special orders delivered when the installer needs them.
How it works
- Sees it received
When the yard marks a special order received and checked, the customer goes on the call list.
- Confirms the pieces
Reads what came in against the order: "four casement windows and the patio door". A short shipment is flagged before the call.
- Books pickup or delivery
Pickup at the yard with the hours, or a delivery window. It asks when the installer is booked so the delivery lines up.
- Mentions the balance
The balance owing on the order, from the order itself, and how to pay: at pickup or by a text payment link.
- Reminds about storage
Your yard's hold period for special orders, read as written, so nothing sits all season.
- Retries
No answer: a voicemail and a text, then a call again in two days.
Example call
- AI agentHi, is this Mrs. Nakamura? It's Emma from Brookside Building Supply. Your windows and patio door came in this morning.
- CustomerOh, that's earlier than they said.
- AI agentThey were. All four casement windows and the patio door are here and checked. Would you like them delivered, or will you pick them up?
- CustomerDelivered. My installer is coming next Wednesday.
- AI agentI can bring them Tuesday between 1 and 4 so they're there when he arrives. Where should the driver leave them?
- CustomerIn the garage. I'll leave it open.
- AI agentTuesday 1 to 4, in the garage. There's a balance of 1,860 on the order. I'll text you a link to pay before then, along with the details.
After the call: The delivery is on Tuesday's route with "garage, installer Wednesday", the balance link went out by text, and the yard knows the windows ship Tuesday.
