Inbound: the customer calls

Cloudy tanks and new fish keepers helped

A new tank goes cloudy, a betta stops eating, a hamster won't come out. The agent gives the basic answer from your own care sheets, invites them in for a water test, and puts the worried ones through to the person who knows.

When it starts

A customer calls with a tank, fish, reptile or small animal care question.

What the agent does

Answers the basics you approve, suggests a water test, transfers worry about a sick animal.

What your team gets

Customers who come back in with a water sample, and fewer losses from new tanks.

How it works

  1. Listens first

How big is the tank, how long has it been set up, what changed. The questions your aquatics staff ask at the counter.

  2. Answers from your care sheets

A milky bloom after a big cleaning, why a new tank needs to cycle, how many fish a 20-gallon can hold. Only the guidance you've approved.

  3. Invites a water test

"Bring in a cup of tank water and we'll test it for free." With the store's hours and when the aquatics person is in.

  4. Puts the worried ones through

A fish or animal bought from you that seems sick goes to the manager or aquatics staff, warm-transferred with a short private summary.

  5. Never plays vet

It doesn't diagnose or dose. A dog, cat or bird in trouble is told to call their vet, or an emergency vet after hours.

  6. Notes the guarantee

If the store has a live-animal guarantee, it reads your terms and asks them to keep the receipt and a water sample.

Example call

  1. CustomerHi, we set up a tank for my son last weekend and now the water's all cloudy. Did we do something wrong?
  2. AI agentThat's really common with a new tank. How big is it, and are there fish in it yet?
  3. CustomerTwenty gallons. We put in four tetras on Sunday.
  4. AI agentA white haze in the first couple of weeks is usually a bacterial bloom while the tank settles in. Our care sheet says don't do a big cleaning, and feed lightly for now.
  5. CustomerOkay. Should I be worried about the fish?
  6. AI agentThe best way to know is a water test. Bring in a cup of tank water and Noor in aquatics will test it free. She's in until 8 tonight.
  7. CustomerWe'll come by after dinner.

After the call: Noor gets a note that a family with a week-old 20-gallon and four tetras is bringing in a water sample tonight, so she has the test kit and a cycling handout ready.

Questions

Will it tell someone how to treat a sick fish?

No. It gives only the basics you approve, like not over-cleaning a new tank. Sick fish go to your aquatics staff.

What about dogs and cats?

It never gives health advice for any animal. Anyone worried about a pet's health is told to call their vet.

Can it handle reptiles and small animals too?

Yes, from the care sheets you give it for bearded dragons, guinea pigs or anything else you sell.
