Outbound: the agent calls

Delivery windows confirmed with the site super

A float driver turned away at a locked gate is a lost half-day for your truck. The agent calls the site the day before, checks the gate, the ground and who's signing, and moves the delivery if the job isn't ready.

When it starts

A delivery on tomorrow's schedule, or a pickup from a site.

What the agent does

Calls the site contact, confirms window, access and ground, moves the delivery if needed.

What your team gets

A driver's ticket with the gate, the drop spot and the person signing.

How it works

  1. Calls the site contact

The super or the homeowner on the contract, with the unit, the address and the window.

  2. Checks the way in

Gate codes, the entrance to use on a busy site, overhead wires, and how far the float can get.

  3. Checks the ground

Mud after rain, a soft lawn, a slope. It asks where the machine should be unloaded so the driver doesn't guess.

  4. Finds who signs

The person who will be there to sign and see the walk-around, and their cell.

  5. Moves it if needed

Site not ready? It offers the next delivery window and frees the truck's slot for someone else.

  6. Notes for the driver

Everything goes on the delivery ticket, and the driver texts the contact when they leave the yard.

Example call

  1. AI agentHi, is this Marco? It's Emma from Fraser Valley Equipment Rentals. We're delivering the telehandler to the Langley site tomorrow between 7 and 9. Still good?
  2. CustomerYeah. Use the south gate on 200 Street, not the main entrance. The main one's blocked by the concrete pump.
  3. AI agentSouth gate on 200 Street. Is there a gate code, and where would you like it unloaded?
  4. CustomerCode's 4412. Drop it by the blue site trailer, the ground's packed gravel there.
  5. AI agentPerfect. Will you be there to sign, or someone else?
  6. CustomerMy foreman, Jag. 604-555-0187.
  7. AI agentGot it. I'll put all of that on the driver's ticket, and he'll text Jag when he leaves the yard.

After the call: The driver's ticket has the south gate on 200 Street, code 4412, drop by the blue site trailer on packed gravel, and Jag as the signer with his cell. The delivery stays on for 7 to 9.

What your team gets

  • Every delivery confirmed with the site the day before
  • Gate, drop spot and ground conditions on the driver's ticket
  • The signer's name and cell for the walk-around
  • Deliveries moved before the truck leaves, not after
  • Fewer turned-away floats and wasted runs
Set up with you: The team sets up a connection to your rental software and delivery schedule (Point of Rental, InTempo or Wynne RentalMan), sets when the calls go out, and loads the questions your drivers want answered.

Questions

What if the site isn't ready?

It offers the next delivery window, moves the ticket, and frees the slot for another delivery.

Does it call for pickups too?

Yes. It checks the machine is parked, keys are where the driver expects, and someone knows the truck is coming.

Can it share the driver's location?

It tells the contact when the driver leaves the yard, and the driver texts them on the way.
