Outbound: the agent calls

Install week calls: clear the room, crew arrives at 8

The crew arrives to a basement full of boxes and a TV mounted over the baseboard. The agent calls before every install with what to clear, what the crew handles, and the real arrival time.

When it starts

An install on the schedule a few days out, and again the afternoon before.

What the agent does

Confirms the date, walks through the prep, takes access notes, moves the date if it doesn't work.

What your team gets

Rooms ready on install morning, and a crew sheet with access and pets.

How it works

  1. Confirms a few days out

The date, the arrival window and how long the job takes, for the rooms on the order.

  2. Walks through the prep

Small items, electronics and anything breakable out, beds stripped, what the crew moves and what they don't, like a piano or a full china cabinet.

  3. Covers the practical bits

Power and a sink for the crew, a spot for the saw outside or in the garage, pets kept away, and the dust to expect.

  4. Takes access notes

Lockbox, parking, an elevator to book in a condo. On the crew sheet.

  5. Reminds the day before

A short text with the arrival window and the installer's name.

  6. Moves it if needed

Two other open dates on the call, so a conflict doesn't become a no-show.

Example call

  1. AI agentHi Mr. Petrov, it's Emma from Prairie Floors. Your hardwood install is Tuesday, crew arriving between 8 and 9. Still good?
  2. CustomerYes. Do we need to empty the rooms ourselves?
  3. AI agentThe crew moves the big furniture. If you can take out the small things, lamps and anything breakable, and unplug the TV, that's perfect. The piano they'll leave, so we'd need that moved by someone else.
  4. CustomerNo piano, just a big bookshelf.
  5. AI agentThey'll handle the bookshelf once the books are out. Is there parking in the driveway for their van?
  6. CustomerYes, and the dog will be at my sister's.
  7. AI agentGreat, I'll note both. You'll get a text Monday afternoon with the crew lead's name.

After the call: The crew sheet shows Tuesday 8 to 9, driveway parking, no pets, a bookshelf to move once emptied, and Mr. Petrov is confirmed on the schedule.

What your team gets

  • Every install confirmed ahead
  • Your prep list given the same way every time
  • Access, parking and pets on the crew sheet
  • Conflicts rebooked on the call
  • A reminder text with the crew lead's name
Set up with you: The team sets up a connection to your install schedule in RFMS, QFloors or Jobber, and loads your prep list, what your crews move and don't, and when the calls and texts go out.

Questions

Does it explain how long hardwood needs before furniture goes back?

Yes, from your own information, the same answer your installers give.

What about condo installs?

It asks about the elevator booking, the loading dock and the building's quiet hours, and notes them for the crew.

Call or text?

You choose. Many stores call a few days out and text the day before.
