Outbound: the agent calls

Special-order flooring arrival calls and new dates

"Has my floor come in yet?" is the call your scheduler takes ten times a day. The agent calls customers first, the day the boxes land or the day the mill pushes a date, and books the install on the same call.

When it starts

A special order received in the warehouse, or a supplier date that moves.

What the agent does

Calls with the news, books or moves the install, offers to deliver the boxes early to acclimate.

What your team gets

Installs booked from received stock, and no surprise backorders on install day.

How it works

  1. Watches the orders

When the warehouse receives a special order, or a supplier moves a date, the customer goes on today's list.

  2. Calls with the news

"Your Harbour Oak landed this morning, all 22 boxes." Or, plainly, that the mill pushed it and the new expected date.

  3. Books the install

Two open install days from the crew schedule, with the measure details already on the job.

  4. Plans acclimation

If your installers want hardwood in the house a few days first, it books the box drop ahead of install day.

  5. Moves a delayed job

A backorder moves the install with the customer's okay, and the crew slot opens for someone ready now.

Example call

  1. AI agentHi Mrs. Nguyen, it's Emma from Prairie Floors. Good news, your Harbour Oak vinyl arrived this morning, all 22 boxes.
  2. CustomerOh great. When can you put it in?
  3. AI agentCurtis's crew has Monday the 14th or Wednesday the 16th. They'd start at 8 and be done in a day and a half.
  4. CustomerMonday the 14th.
  5. AI agentBooked. We'll deliver the boxes Thursday so they can sit in the basement a few days first. Someone will need to be home between 1 and 4.
  6. CustomerThat works.
  7. AI agentPerfect. I'll text you both dates now, and I'll call you the week before with what to clear out.

After the call: The install is on Curtis's schedule for Monday the 14th, the box drop is Thursday 1 to 4, and the order shows received, booked and delivered in one call.

What your team gets

  • Customers called the day their order lands
  • Backorders and new supplier dates told plainly
  • Installs booked from stock that's actually in
  • Box drops booked ahead to acclimate
  • Crew slots freed when an order slips
Set up with you: The team sets up a connection to your RFMS or QFloors orders and receiving, your supplier order status and your install schedule, and sets with you how far ahead boxes are delivered.

Questions

Does it promise a date for a backorder?

It gives the date the supplier gave, and says plainly that it's the supplier's date. It calls again if it moves.

Can it book install before the floor arrives?

Only if you want it to. Most stores book from received stock, so install day never waits on a truck.

What if the customer wants to switch products because of a delay?

It books them with their salesperson to look at what's in stock.
