Outbound: the agent calls

Crew on-the-way calls with the arrival time

A crew standing at a locked garage costs the whole route. The agent confirms the day before, asks the customer to have things ready, and calls when the truck is close, with the crew lead's name.

When it starts

A pickup tomorrow, a truck leaving its previous stop, or a route running late.

What the agent does

Confirms the window, asks for items ready and access, calls ahead with the arrival time.

What your team gets

A route that holds, fewer wasted trips, and customers who know who's coming.

How it works

  1. Confirms the day before

A call or text with the window, the items booked and the price range. A yes is marked on the route.

  2. Asks for things ready

The garage open, the car moved, the items in one spot if they can, and anything new they've added.

  3. Catches add-ons

"Can you also take the old freezer?" goes on the booking, with the fee, so the crew leaves room on the truck.

  4. Calls when the truck is close

From the truck's location, about 20 minutes out: who's coming and the arrival time.

  5. Runs late? Says so

If the route is behind, the customer hears it before the window passes, with a new time.

  6. Rebooks the no-answers

Nobody home and nobody answering? It offers the next open window so the crew doesn't wait.

Example call

  1. AI agentHi Tanya, it's Emma from Kawartha Hauling. Your crew is about 20 minutes away, Kyle and Ravi. Still good to come by?
  2. CustomerYes! Oh, can they take an old dehumidifier too?
  3. AI agentThey can. It's a small item, so it fits in your quarter load at no extra cost. Is everything in the garage?
  4. CustomerEverything except the dresser. That's upstairs in the spare room.
  5. AI agentNo problem, I'll tell Kyle there's one carry from upstairs. They'll knock when they arrive.
  6. CustomerPerfect, thank you.

After the call: Kyle's route shows the dehumidifier added and "dresser upstairs, one carry" on the stop, and Tanya knows the crew's names and arrival time.

What your team gets

  • Day-before confirmations on every pickup
  • Add-on items on the booking before the truck arrives
  • Arrival calls from the truck's real location
  • Late-route calls before the window passes
  • Fewer trips to empty driveways and locked garages
Set up with you: The team sets up a connection to your routing software and truck GPS (Vonigo, Workiz or Samsara), sets when confirmations and arrival calls go out, and loads your item fees for add-ons.

Questions

Call or text?

You choose. Many crews text the day before and call only when the truck is close.

What if they add a lot more stuff?

It notes it and tells the customer the crew will confirm the new load size and price when they see it.

Can the customer reach the crew?

It passes messages to the crew lead. Anything urgent goes to dispatch.
