Inbound: the customer calls

Adjuster and property manager files logged

Adjusters hand out your number because you pick up and you're easy to work with. The agent keeps it that way: every assignment is logged with the claim number, the policyholder is called, and the adjuster hears back the same day.

When it starts

An adjuster, a third-party administrator or a property manager calls with a new loss or a question on an open one.

What the agent does

Logs the claim, the policyholder and the scope, books the first visit, and answers status from the job file.

What your team gets

A new job tied to the claim, the visit on the schedule, and a note to your insurance liaison.

How it works

  1. Knows who's calling

An adjuster, a TPA desk or a property manager sounds different from a homeowner. It asks for the claim number and the carrier first, the way your office does.

  2. Logs the assignment

Policyholder, address, date of loss, cause, rooms involved and any limits the adjuster mentions, written on a new job tied to that claim.

  3. Books the first visit

Calls or texts the policyholder, finds a time for the assessment, and sends the adjuster the booked time.

  4. Answers status on open files

Equipment set, drying day, estimate sent, rebuild started. Read from the job file in plain words, and anything about the estimate goes to the estimator.

  5. Routes the rest

Scope questions to the project manager, invoicing to the office, and anything sensitive to your insurance liaison, with a summary.

  3. CustomerIt's 88-310442. Policyholder is Gord Fenwick, 19 Cundles Road East. Dishwasher line, kitchen and the finished basement below.
  4. AI agentGot it. Is Mr. Fenwick expecting a call, and is there anything you need on this one in particular?
  5. CustomerHe's expecting you. I'd like moisture maps and photos before any flooring comes up.
  6. AI agentNoted on the file. I'll reach him now to book the assessment and email you the time. Paolo is the project manager on Barrie jobs this week.
  7. CustomerPerfect, thanks.

After the call: A new job sits on the board under claim 88-310442 with the cause, the rooms and "moisture maps and photos before flooring comes up". Mr. Fenwick is booked for Wednesday morning, and Natalie has an email with the time and Paolo's name.

What your team gets

  • New assignments on the board with the claim number, carrier and adjuster
  • The adjuster's own requests written on the job, word for word
  • Policyholders called and booked the same day the file arrives
  • Adjusters emailed the booked time without anyone chasing it
  • Status questions answered from the file, and estimate questions sent to the estimator
Set up with you: The team sets up a connection to your job management software and your claims inbox (Xcelerate, DASH, PSA or Encircle), loads your carrier and TPA list, and sets who gets estimate, scope and billing questions.

Questions

Can adjusters and homeowners share one number?

Yes. It tells them apart by what they ask, and each gets the questions and the routing that fit.

Will it talk about the estimate?

It can say an estimate was sent and when. Line items, pricing and supplements go to your estimator.

What if the adjuster calls after hours?

The assignment is logged the same way at 9 p.m. as at 9 a.m., and the policyholder is called at the first time you allow in the morning.
