Why pizza and takeout shops miss calls, and what an AI receptionist changes

A pizza shop's phone does its real work between 5 and 7:30 on a Friday, and again the minute the hockey game ends. The person on the counter is cutting pies, ringing up walk-ins and bagging orders for the drivers, with flour on both hands and the handset wedged against a shoulder. Callers sit through ten rings, get a busy signal or get put on hold halfway through an order, and a hungry family on hold doesn't wait. They open an app and order from the chain down the street.

As an answering service for pizza and takeout shops, RealVoice picks up those calls, several at a time. It takes the order the way your counter would: size, crust, toppings, half-and-half, dipping sauces, the two-litre, the wings and their heat level. It reads the whole order back before hanging up, notes allergies and special requests, checks whether the address is inside your delivery zone, and gives the pickup or delivery time you've told it to quote.

Each order goes to the store by text and email the moment the call ends, and once the team has connected it to your POS during setup, it lands on the make line without anyone keying it in. With that connection, a caller asking where their food is hears whether it's still in the oven or out with a driver, along with the ETA from your dispatch screen. It takes no card numbers: customers pay at the counter or at the door, the way you tell it. When someone calls because the wings are missing or the pizza showed up cold, it hands them to the shift manager with the order read out first, and if the manager is slammed, the complaint is logged for a callback.

Example call, start to finish

  1. CallerHi, can I get two larges for delivery? One pepperoni, one Hawaiian, and a pound of wings.
  2. AI receptionistSure. What heat would you like on the wings, and what's the delivery address?
  3. CallerMedium. We're at 2240 Concession 9, just past the highway.
  4. AI receptionistThanks. Our delivery zone stops at Highway 400, so I can't send a driver out to Concession 9 tonight. I can have it ready for pickup at the Bayfield Street store in about thirty-five minutes. Would that work?
  5. CallerYeah, fine, my husband can grab it. Can you make the Hawaiian well done?
  6. AI receptionistOf course. That's one large pepperoni, one large Hawaiian well done, and a pound of medium wings, for pickup in about thirty-five minutes. What name should I put it under?
  7. CallerLisa Morin.
  8. AI receptionistThanks, Lisa. The order's in. You'll pay at the counter when you pick it up, and I'm texting you the store address now.

After the call: The store gets the order by text and email as soon as Lisa hangs up, with the pickup time, the well-done note and her number. Lisa has the address by text. The order, the summary and the recording are kept in the RealVoice portal, so a 'that's not what I ordered' call later in the night can be checked against what was actually said.

How it fits your day

Friday and Saturday dinner
Order calls are answered together, so the counter keeps making pies and serving walk-ins instead of putting people on hold.
Game nights and snow days
When the playoffs are on or a storm keeps everyone home, the agent absorbs the spike in calls and quotes the longer wait times you've given it for busy nights.
Missing wings, cold pizza
Order-went-wrong calls reach the shift manager with the order details read out first, or become a logged complaint with the caller's number when the manager can't step away.
Late night and before open
Calls at 11:40 p.m. or 10 in the morning still get your hours, menu answers and delivery zone, and orders are taken right up to your last call.

Your software

Today it takes phone orders and sends each one to the store by text and email when the call ends, keeps every order call, summary and recording in the RealVoice portal, and texts callers your pickup details, plus a heads-up when a pickup order is ready. If your shop runs SpeedLine, HungerRush, Clover or Square, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

Say a weekend order averages $40 and the counter lets eight calls ring out between five and eight o'clock. That is over $300 gone in a single evening, and most of those callers don't come back next week; they stick with whichever place picked up. Across every Friday and Saturday in a year, it comes to more than $30,000 in orders. Run your own call count and average ticket through the missed-call calculator on our homepage.

Questions pizza and takeout shops ask

Can it take a full pizza order over the phone?

Yes. It works from your menu: sizes, crusts, toppings, half-and-half, combos, sides, drinks and whatever specials you give it. It reads the order back before ending the call and sends it to the store by text and email.

Does it take credit card payments?

No. It doesn't take card numbers over the phone. It tells callers how to pay, at the counter or to the driver, cash or card, following your instructions.

How does it know if we deliver to an address?

You give it your zone as streets, postal codes or landmarks like the highway or the river. It checks the caller's address against that and offers pickup when they're outside it.

Can it tell a customer where their driver is?

Yes. As part of setup, the team connects it to your order screen and delivery software, so it reads the order's status and the driver's ETA and tells the caller plainly. For an order running well past that time, it puts the caller through to the shift manager or sends a callback note.

What happens when an order shows up wrong?

It writes down what was ordered and what arrived, then warm-transfers the caller to the shift manager with a short private summary. If the manager can't pick up, the complaint goes to them by text and email with the caller's number.

Can an AI answer my pizza shop's phone after we close?

Yes. After hours it gives your hours and menu answers and tells callers when you open next. It only takes orders for a closed kitchen if you want next-day pickup orders, which some shops accept for party-size orders.
