Inbound: the customer calls

Dead hearing aids talked through, then booked for repair

A hearing aid that dies in the morning leaves someone half-deaf for the day. The agent goes through the simple checks your clinic approves, and if that doesn't fix it, gets them in.

When it starts

A patient calls because a hearing aid is silent, whistling, weak or crackling.

What the agent does

Goes through your approved checks, then books a drop-in, a clean and check, or a repair.

What your team gets

A repair or drop-in booked with the aid, the side and what was already tried.

How it works

  1. Finds which aid

From the patient's file: the model, battery or rechargeable, and which side. It confirms with the caller in plain words.

  2. Goes through your checks

A fresh battery with the tab pulled and a minute to wake up, a new wax guard, seated properly in the charger. Only the checks you approve, one at a time.

  3. Stops when it's past the phone

It never suggests opening the aid or changing settings. If the checks don't help, it moves to booking.

  4. Gets them in

A drop-in time today for a clean and check, or a repair visit with the right clinician, whichever your clinic uses.

  5. Reads the warranty date

It can say when the warranty on file runs to. Whether a repair is covered stays with your staff.

  6. Writes it down for them

The time is said twice and texted. A family member helping on the call can get the text too.

Example call

  1. CustomerMy left hearing aid has gone dead. I put a new battery in and it's still nothing.
  2. AI agentI'm sorry, that's a rough start to the day. I'll go slowly. When you put the new battery in, did you pull off the little sticker and wait a minute before closing it?
  3. CustomerSticker, yes. I didn't wait.
  4. AI agentLet's try that. Open the door, wait a full minute, then close it. ... Anything?
  5. CustomerNo. Still dead.
  6. AI agentThanks for trying. It may just need a clean. You can drop in today between 1 and 4, and Anil will clean and check it while you wait. Can you make it?
  7. CustomerMy son can drive me at 2.
  8. AI agentI've put you down for a drop-in at 2 this afternoon, with Anil. Two o'clock, today. I'll text it to you, and bring both aids and the charger case if you have one.

After the call: Anil's afternoon shows a 2:00 clean and check for the left aid, with "new battery tried, waited a minute, still dead" on the visit. The patient has a text with the time spelled out.

What your team gets

  • Repair and drop-in visits booked with the side, model and checks tried
  • Fewer quick-fix calls at the front desk
  • Warranty dates read from the file when asked
  • Texts with every time spelled out
Set up with you: The team sets up a connection to your clinic software for patient devices, warranty dates and the repair schedule, and writes the troubleshooting steps your audiologists approve for each type of aid.

Questions

Will it tell patients to open or adjust the aid?

No. It only goes through the simple checks you approve, then books a visit.

Does it know which aid the patient has?

Yes, from their file: model, side, battery size or rechargeable. It confirms with them before the checks.

Can it tell if a repair is under warranty?

It can read the warranty date on file. Whether a repair is covered is decided by your staff.
