Outbound: the agent calls

Balance-due calls before the July week

Thirty days before arrival, the balance is due. Instead of you chasing e-Transfers from the dock, Emma calls each guest, reminds them kindly, answers their questions about the week and texts the payment link.

When it starts

A booking's balance or damage deposit coming due, or already overdue.

What the agent does

Calls the guest, gives the amount and due date from the booking, answers questions, texts the link.

What your team gets

Balances paid on time, and a short list of the ones that need you.

How it works

  1. Watches the due dates

The balance and damage deposit dates on each booking, by your terms: 30 days out, 60 for the peak weeks.

  2. Calls ahead

A few days before the due date, at an hour the guest would want a call, not during dinner.

  3. Gives the numbers

The balance and the damage deposit as they are on the booking, and when the damage deposit comes back.

  4. Answers what's on their mind

Can we bring a canoe, is there Wi-Fi, can we arrive at 2. Pre-stay questions get answered while it has them.

  5. Sends the link

Your payment link or your e-Transfer details by text, and a thank-you when it's paid.

  6. Tells you about the stragglers

A balance still unpaid after the due date goes to you with the guest's answer, so you decide what's next.

Example call

  1. AI agentHi Sarah, it's Emma from Muskoka Shores Cottages. I'm calling about your week at Cedar Chalet in July. Is now a good time?
  2. CustomerSure. Is something wrong?
  3. AI agentNot at all. Your balance of 2,100 and the 500-dollar damage deposit are due on June 12. The deposit comes back within a week of checkout. I can text you the link now.
  4. CustomerYes, please. Oh, and can we bring our own kayaks?
  5. AI agentYes, there's a kayak rack by the dock. Just keep them out of the swimming area. Anything else on your mind?
  6. CustomerNo, that's it. Thanks.
  7. AI agentYou're welcome. The link is on its way. Enjoy the planning.

After the call: Sarah pays through the text link that evening, the booking shows the balance and damage deposit received, and the kayak question is added to her guest notes.

What your team gets

  • Balances and damage deposits paid by the due date
  • Payment links sent on the call
  • Pre-stay questions answered and noted on the booking
  • Overdue balances sent to you with the guest's answer
  • Damage deposit refund dates on every booking
Set up with you: The team sets up a connection to your rental calendar and payment links, loads your rental terms, due dates and damage deposit rules, and sets the calling hours.

Questions

Does it take the payment on the phone?

No. It texts your payment link or e-Transfer details. It never takes a card number by voice.

What if the guest can't pay yet?

It asks when they can, notes it, and sends you the answer. Extensions are your call.

Will it explain the damage deposit?

Yes, the way your rental terms say: the amount, what it covers and when it comes back.
