Outbound: the agent calls

Saturday tables confirmed by Friday afternoon

By Friday at 3, every Saturday booking has been confirmed. The table for eight that became six is already changed in the book, and the two-top that cancelled has gone to the first couple on the waitlist.

When it starts

Tomorrow's reservations, and any booking for six or more.

What the agent does

Calls or texts to confirm, updates the party size, moves or releases the table, offers it to the waitlist.

What your team gets

A book you can trust on Saturday, and an alert when a big table wobbles.

How it works

  1. Works through tomorrow's book

Each afternoon it reads the next day's reservations and starts with the largest tables, the ones that hurt most when they don't come.

  2. Confirms in one breath

Time, party size, the occasion on the booking. A yes is marked on the reservation where the host can see it.

  3. Catches the changes

Six instead of eight, a later time, a stroller coming. The book is changed while the guest is still talking.

  4. Releases what won't be used

A guest who can't come is let go kindly, and the table opens in the book at once.

  5. Offers it to the waitlist

The first party on the waitlist that fits gets a text, and the first to say yes gets the table.

  6. Flags the big tables

A party of ten that goes quiet or cancels goes to the manager on duty, so the kitchen can adjust its prep.

Example call

  1. AI agentHi, it's Emma from Rosewood Kitchen. I'm calling to confirm your table for eight tomorrow at 7. Are you still coming?
  2. CustomerWe are, but we're down to six. Two of them have the flu.
  3. AI agentSorry to hear that. I've changed it to six at 7. Is it still for Grant's birthday?
  4. CustomerYes, still the birthday.
  5. AI agentPerfect, it stays on the booking. We'll see the six of you tomorrow at 7, and I'll text you the confirmation.

After the call: The reservation drops from eight to six with the birthday kept, the host can now seat a four-top in the spare space, and the first waitlisted party that fits gets a text offering it.

What your team gets

  • Confirmed, changed and cancelled bookings marked in the book
  • Party sizes updated before the kitchen preps
  • Released tables offered to the waitlist by text
  • An alert to the manager when a party of eight or more cancels
  • No-show rate by night, week over week
Set up with you: The team sets up a connection to your table book, sets when confirmations go out, which sizes get a call instead of a text, and who hears about big cancellations.

Questions

Call or text?

You decide. Many restaurants text two-tops and call parties of six or more, with a call when a text gets no reply.

Does it charge the cancellation fee?

It reminds guests of your policy when it confirms. Any fee stays with your team and the card on file in your book.

What if nobody picks up?

It leaves a short voicemail and a text with a link to confirm or cancel. A big table with no reply by your cut-off goes to the manager.
