Trial-pass guests called before the pass runs out
Most trial guests decide in the last two days of their pass, and most hear nothing from the club. Now each one gets a warm call before it runs out, a real answer to what held them back, and a time with your membership advisor.
A trial or guest pass ending in the next day or two.
Asks how the week went, answers questions, books a membership chat or one more class.
A booked sit-down with the guest's visits and what they liked, or a clear reason they passed.
How it works
- Sees who's ending
Each morning: trial and guest passes ending in the next day or two, and how many times each guest checked in.
- Calls with real interest
"How did the week go?" It knows which classes they came to, so it asks about those.
- Hears what held them back
Price, the schedule, a class that was too hard, not knowing anyone. Each one gets a real answer from your information.
- Books the next step
A sit-down with a membership advisor, or one more class with a friendlier coach if that's what they need.
- Lets the no's go kindly
Not for them? It thanks them, asks one question about why, and the answer goes to your manager.
- Reports what converted
Guests called, booked, joined and the reasons people passed, week by week.
Example call
- AI agentHi Mei, it's Emma from Northside Fitness. Your trial week ends tomorrow, and I wanted to see how it went. Got a minute?
- CustomerSure. I liked the spin classes. The weights area was a bit intimidating.
- AI agentThat's fair, it can be at first. Every membership includes a free session with a trainer to learn the floor. Would that help?
- CustomerActually, yeah. What does the membership cost?
- AI agentThe standard is 54 dollars every two weeks and the classes-included one is 69. Tyler can go through both with you and book that trainer session. He's free Friday at 5:45.
- CustomerFriday works.
- AI agentBooked. I'll text you the time, and I'll tell Tyler you're a spin fan.
After the call: Tyler has Friday 5:45 with "three spin classes, nervous about the weights floor, wants the free trainer session" in the notes. Mei's trial is marked contacted, and the summary sits in the portal.
What your team gets
- Every ending trial pass called, not just the ones staff remember
- Sit-downs with membership sales, with the guest's visit history
- Reasons guests passed, collected in their words
- A weekly trial-to-member report
Questions
Will it pressure people to join?
No. It asks how the week went and answers what held them back. Someone who says no is thanked and left alone.
Can it extend a trial?
Only if you allow it. If you do, it can offer the extra days you've set to a guest who missed most of their week.
What about guests who never came in at all?
They get a lighter call asking if something got in the way, and an offer to start the pass over if your rules allow.
