Inbound: the customer calls

Swelling and after-treatment worries sent to the nurse

A client who had filler on Tuesday calls because one side still looks swollen. She reaches the nurse on duty quickly, with the treatment and her words already in front of the nurse. The agent never says whether it's normal.

When it starts

A client calls about swelling, pain, bruising, blanching, blistering or anything unexpected after a treatment.

What the agent does

Asks what she's seeing and when it started, warm-transfers to the nurse, never gives clinical advice.

What your team gets

The nurse on duty hears from the client right away, with the treatment details ready.

How it works

  1. Listens for the signs

Swelling, pain, bruising, white or dusky skin, blistering after laser, a lump after filler. Any of these goes to a nurse, whatever the time.

  2. Finds the treatment

What was done, when, by which provider, and the product noted on the file.

  3. Asks only the basics

Where, when it started, and whether it's getting better or worse. The agent doesn't ask clinical questions or guess.

  4. Puts the nurse on

A warm transfer with a short summary. After hours, the on-call nurse's number, or an urgent page under your clinic's rules.

  5. Says 911 when it matters

Trouble breathing, severe pain or changes in vision: the agent tells the client to call 911 right away, then alerts the nurse.

  6. Keeps it on the file

The call, the client's words and what happened next are saved to the client's record for the medical director.

Example call

  1. CustomerHi, I had filler done on Tuesday with Sophie and one side of my lip still looks swollen. Is that normal?
  2. AI agentI'm glad you called. I can't say what's normal, but our nurse can. I see your lip filler with Sophie on Tuesday. Is it getting better, worse or about the same?
  3. CustomerAbout the same. It's a bit tender.
  4. AI agentThanks. Is the skin there a normal colour, or does it look pale or dark?
  5. CustomerNormal, just puffy.
  6. AI agentOkay. I'm putting you through to Sophie now. If anything changes quickly, like trouble breathing or a big change in colour, call 911. One moment.

After the call: Sophie takes the call with "Tuesday lip filler, left side swollen and tender, colour normal, unchanged" in front of her, and books a review the next morning. The call is saved to the client's record.

What your team gets

  • Every after-treatment concern sent to a nurse, any hour
  • The treatment, provider and product in the summary
  • Emergencies told to call 911 first
  • A record on the client's file for the medical director
  • Reviews booked by the nurse when needed
Set up with you: The team sets up a connection to your clinic software for treatment records, agrees with your medical director the signs that send a call to a nurse, and sets the day and on-call numbers.

Questions

Will it tell the client if swelling is normal?

No. It never says what's normal. It gets her to a nurse, and tells her to call 911 for anything urgent.

What about after hours?

It reaches the on-call nurse your clinic sets, by transfer or an urgent page, and the client hears when to expect the call.

Who sees these calls?

The nurses and the medical director. The summary goes on the client's record, not in the general booking notes.
