Why driving schools miss calls, and what an AI receptionist changes

At most driving schools the person who should answer the phone is behind a passenger-side brake. Instructors run back-to-back in-car lessons from after school until dark, and the owner is often one of them. Calls arrive in bursts: right after a teenager passes the learner's knowledge test, in the weeks before March break and summer classroom courses, and on the evening a parent realizes the road test is next week. A ringing phone in a cup holder can't be answered with a student merging onto the highway.

A RealVoice AI receptionist answers the driving school's phone while the instructors drive. It books in-car lessons around school and work schedules, registers students for the classroom part of your beginner driver course, and explains your packages from your price sheet. For road test packages it takes the test date, time and centre, books the warm-up lesson and the school car, and confirms the pickup address.

When a student or parent calls about a problem with an instructor, the agent warm-transfers to the school owner. It doesn't book the government road test itself, because students book that through their province's system, and it never guarantees a pass or quotes an insurance discount. It explains what you tell it about insurance and suggests the caller check with their own insurer.

Example call, start to finish

  1. CallerHi, my daughter Sofia has her G2 road test next Thursday at 10:40 at the Brampton DriveTest centre. Can she take a lesson before and use your car?
  2. AI receptionistYes, that's our road test package: pickup from home, an hour-long warm-up lesson near the test centre, and the school's car for the test. Can I have Sofia's full name and the pickup address?
  3. CallerSofia Mendes, 14 Kingknoll Drive in Brampton.
  4. AI receptionistThanks. Ravi is free that morning, so he'd pick Sofia up at 9:15 and practise the routes around the centre before 10:40. Shall I book that?
  5. CallerPlease. And her brother turns sixteen in February. Do you run a classroom course over March break?
  6. AI receptionistWe do, Monday to Friday of March break, in person at the school. He'll need his learner's licence before his in-car lessons start, but he can take the classroom portion first. Would you like to register him now, or should I send you the details?
  7. CallerJust send the details for now.
  8. AI receptionistSofia is booked with Ravi for Thursday at 9:15. I'll text you that confirmation, plus the March break course dates and price, right now.

After the call: Ravi gets a text and email with Sofia's pickup address, test centre and test time, and the package is in the RealVoice schedule. The parent has the confirmation and the March break course details by text, and the summary and recording are saved in the portal so the office can follow up about the brother.

How it fits your day

Between lessons
Instructors keep their eyes on the road and their phones in the glovebox, and the office reads the day's new bookings at the next break.
After school and after work
Parents call from 4 to 8 p.m. to sign up a new driver. They get a lesson time or a classroom spot on the first call.
March break and summer courses
Classroom courses fill in the weeks before school breaks. Registrations are taken and confirmed while every instructor is out driving.
Road test week
Last-minute car rentals and warm-up lessons are booked around the test time, and students whose test was moved by the province can rebook the package to match.

Your software

Today it books in-car lessons and road test packages into the RealVoice schedule in the portal, keeps classroom registrations and messages there with a summary and recording, texts each student a confirmation with the pickup time, and sends a reminder text the evening before each lesson. If your driving school runs DriveOS, DriveAdvisor, Colibri or Square Appointments, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

A beginner driver package with classroom hours and ten in-car lessons commonly sells for $700 to $900, and the same family often comes back for a road test package and then for a younger sibling. If the office misses six calls a week while every instructor is driving, and two of those were parents ready to register, that is roughly a hundred packages a year signed at another school. Check the math against your own prices with the missed-call calculator on our homepage.

Questions driving schools ask

Can it book the road test for my student?

No. Students book their road test through their province's system. The agent books your warm-up lesson and car package around the date and centre they already have.

Does it tell callers the course lowers insurance?

It repeats what you tell it, for example that many insurers offer a discount to graduates of an approved course, and suggests the caller confirm with their insurer. It never names a percentage.

Can it check if a student is ready for a road test?

It asks when the student got their learner's licence and how much driving they've done, and notes it for the instructor. Your team decides readiness.

How are complaints about an instructor handled?

The caller is warm-transferred to the school owner with a short private summary. If the owner is on a lesson, the details go out by text and email right away.

Do my instructors still have to answer calls while driving?

No. The agent answers, books and takes messages, and texts instructors any change to their day so they can read it when they're parked.

Can parents call in Punjabi or Mandarin?

It handles English and French and many other languages, which helps where parents are more comfortable in another language, and it checks with the caller before switching.
