CallerI'm sick and can't make my shift at the warehouse today. Who do I tell?
CallerWe need four general labourers tomorrow morning, can you fill that?
CallerI applied online last week, is anyone going to call me back?
Warm transfer: When a client calls needing a same-day replacement after a worker didn't show, the agent warm-transfers to the account manager to find coverage.
Candidate interviews
A staffing branch's phone is busiest when nobody's at a desk. Workers call in sick at 5:30 a.m. for a 7 a.m. warehouse shift, a client calls at 6 because two of yesterday's general labourers didn't show, and by 9 the line is full of candidates asking whether anyone has looked at their application. Recruiters and account managers are out visiting clients or interviewing, and the on-call phone is sitting on someone's kitchen table.
A RealVoice AI receptionist answers every one of those callers. A sick call is logged with the worker's name, the client site, the shift and whether they'll be back tomorrow, and the coordinator gets a text right away so the shift can be filled. Client requests for coverage are taken down with the site, the number of workers, the start time, the role (forklift operator, general labour, picker-packer) and the safety gear required. Candidates are booked for interviews with a recruiter, and workers can update their availability for next week.
It doesn't promise a client that a shift will be filled, offer anyone a job, or discuss pay rates beyond what you give it. Pay stub and timesheet questions become a message for payroll with the pay period noted. When a client needs a same-day replacement for a no-show, the agent warm-transfers to the account manager, who can actually find someone.
After the call: At 5:34 a.m. the branch coordinator gets a text that Kofi is off the 7 a.m. shift at the Brampton distribution centre, early enough to call in a replacement before the client notices. Payroll gets a separate message about the missing Saturday hours, and both are saved in the RealVoice portal with the recording.
Today it books candidate interviews into each recruiter's RealVoice schedule in the portal, logs sick calls, shift requests and payroll messages there with the recording, and texts workers and candidates a confirmation. If your agency runs Bullhorn, JobAdder, Avionté or PCRecruiter, the team can set up a connection to it; custom integrations are quoted separately.
Staffing margins are made one worker-hour at a time. If a client orders a crew of six for a month-long warehouse assignment and calls a competitor because your line was busy, you lose every hour of margin on that order, not just one shift. Missed sick calls cost too, because an unfilled shift is how a client starts asking other agencies for quotes. Count the client and worker calls that ring out each week, then put your own margin per hour into the missed-call calculator on our homepage.
Yes. As part of setup, the team connects it to your staffing software, so it can see who's marked available and text the open shift to them, passing whoever accepts to the coordinator to confirm. It doesn't promise the client a filled shift; same-day needs still go to the account manager by warm transfer.
Yes, at any hour. The sick call is logged with the site and shift, and your coordinator is texted right away.
It answers the general ones you give it, like pay day and how to submit hours. Anything about a specific pay stub becomes a message for payroll with the worker's name and dates.
It asks the basic questions you choose, such as which roles they want, whether they have a forklift certificate or safety boots, and their availability, then books an interview with a recruiter.
Many workers would rather speak another language, and the agent can. It handles English, French and many more, and asks the caller before changing languages.
