Why family entertainment centres miss calls, and what an AI receptionist changes

At a trampoline park, bowling alley or escape room, the front counter on a Saturday is handing out grip socks, checking waivers, assigning lanes and rescuing a birthday party that's running fifteen minutes behind. Parents planning next month's party call in the middle of all that, along with the 'are you open on the holiday Monday?' and 'how old do you have to be?' calls. On PA days and during March Break, the line barely stops.

As a phone answering service for family entertainment centres, RealVoice answers those calls while staff look after the guests in the building. It books birthday parties by package, date, time slot and number of kids, books lanes, rooms and group visits, and answers hours, holiday schedules, admission and age or height rules from your information. It texts the parent the party details and your waiver link so every child's form is done before they arrive.

It doesn't stretch a height rule, squeeze a party into a full slot or decide for a parent whether an attraction suits their child. It describes your escape rooms the way you do, from how hard they are to whether there are jump scares, and leaves the choice to the family. It takes no card payments; party deposits are handled the way you've set up. When a school or company wants the whole place, the agent warm-transfers to the group sales coordinator with headcount, date and ages already noted.

Example call, start to finish

  1. CallerHi, I want to book a birthday party for my son, twelve kids, next Saturday.
  2. AI receptionistHappy early birthday to him. Next Saturday I have the 11 a.m. or the 3:30 party slot. The Jump Party package covers up to twelve jumpers with ninety minutes of jumping and an hour in a party room. Which time works?
  3. Caller3:30. His little sister wants to come too, she's three. Is that allowed?
  4. AI receptionistKids under five jump in the toddler zone during party time, and she'd count as an extra jumper on the package. Shall I add her, which makes thirteen?
  5. CallerYes, please. Do the parents have to sign anything?
  6. AI receptionistEvery jumper needs a waiver signed by a parent or guardian. I'll text you the party details and the waiver link so you can forward it to the other parents. What's your name?
  7. CallerAmanda Clarke.
  8. AI receptionistThanks, Amanda. The party is booked for next Saturday at 3:30 for thirteen jumpers, and the text is on its way. Grip socks are required, and they're sold at the counter if anyone forgets.

After the call: The party is in the RealVoice schedule with thirteen jumpers and the younger sibling noted, and the party coordinator gets the details by text and email. Amanda has the confirmation and the waiver link to pass along, and the summary and recording are saved in the portal in case the headcount comes up on the day.

How it fits your day

Saturday party rush
Party bookings and 'what time do you open?' calls are answered while the counter handles waivers, socks and check-in.
March Break and PA days
When school's out, calls about open jump times, holiday hours and admission are answered from your information, many at once.
Schools, camps and companies
Field trips, day camps and team-building groups are passed to group sales with the date, headcount and ages.
Weeknight planning
Parents plan parties after the kids are in bed. Evening calls still end with a party booked and the waiver link sent.

Your software

Today it books parties, lanes, rooms and group visits into the RealVoice schedule in the portal, keeps every call and summary there, and texts parents the confirmation along with your waiver link, then a reminder the day before the party. If your centre runs ROLLER, CenterEdge, Checkfront or Xola, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

A Saturday party for twelve kids at a package price around $400, plus pizza, extra jumpers and admission for younger siblings, is one of the best bookings of the week. Parents call two or three places and book whichever answers with an open slot. Miss three party calls a weekend through the school year and that comes to close to $50,000 in a year. Put your own party price into the missed-call calculator on our homepage.

Questions family entertainment centres ask

Can it book birthday parties into the right room and time slot?

Yes. You set your packages, slots, rooms and headcount limits. It offers only open slots, books the one the parent picks and texts the details.

How does it answer age and height questions?

From your posted rules. If an attraction needs riders to be 122 centimetres, that's what it says; it makes no exceptions and leaves borderline cases to your staff at the door.

Can it send waivers?

It texts parents the waiver link you use, along with the party details, so forms are signed before arrival. As part of setup, the team can connect it to your waiver system, so it tells a parent which guests still haven't signed and texts the reminder for them.

What does it say when parents ask if a room is too scary?

It describes each room the way you do: theme, difficulty, any jump scares, the minimum age and whether an adult must play. The decision stays with the parent; it never promises a nine-year-old will be fine.

Can it take a school or camp group booking?

It collects the date, number of students and supervisors, ages and what they'd like to do, then warm-transfers to your group sales coordinator or sends the request by text and email.

Will it give the right holiday hours?

Yes. Add your hours for Family Day, March Break and each holiday Monday ahead of time, and callers get the answer for the day they're asking about.
