Why day spas miss calls, and what an AI receptionist changes

At a day spa, the reception desk is also the quiet zone. The person at the front is checking in a guest in a robe, explaining the relaxation lounge and selling a gift card, and a ringing phone is the last sound anyone wants. Then December arrives, along with the weeks before Valentine's Day and Mother's Day, and calls about packages and gift cards pile up while every treatment room is booked.

With RealVoice, those calls go to an AI receptionist rather than the desk. It books Swedish and deep tissue massages, facials, body wraps and half-day packages with the right therapist or esthetician, pairs couples' massages in the same room, and walks a nervous first-timer through what to expect: when to arrive, what to wear, whether to shower first and how to ask for lighter pressure. Gift card callers get your real policy on how cards work, and reception keeps its attention on the guests in front of it.

As part of setup, the team connects it to your spa's point-of-sale, so a caller who reads out a gift card number hears the balance on the spot. It doesn't take payment over the phone; buying a card or paying for a package goes through a payment link it texts or through reception. Private events for a bachelorette or a staff day go to the spa manager on a warm transfer, and a guest who mentions pregnancy, recent surgery or a medical condition is booked under your intake rules with a note the therapist sees first.

Example call, start to finish

  1. CallerHi, I'd like to book something for my sister's birthday. She's never been to a spa. What would you suggest?
  2. AI receptionistThat's a lovely gift. For a first visit, a lot of guests choose our Signature half day, a sixty-minute massage and a facial with lunch in between. Would you be coming with her?
  3. CallerYes, both of us, if we can be together for the massage.
  4. AI receptionistWe can do a couples massage in the same room. This Saturday I have the two of you starting at 10:00, with facials after lunch, finishing around 2:30. Shall I book that?
  5. CallerPlease. And I found an old gift card from two Christmases ago. Can I use it toward this?
  6. AI receptionistYes, our gift cards don't expire, so it can go toward the day. If you read me the number on the back, I'll check what's left on it.
  7. CallerIt's 4471 0093.
  8. AI receptionistThat card has $180 on it, and I've noted it on the booking so reception applies it when you check out. You're both booked for Saturday from 10:00. I'll text you the confirmation with arrival times and what to bring.

After the call: Reception gets a text and an email with the couples booking and the gift card to apply at checkout, and the therapists see 'first spa visit' on the appointment. The confirmation text asks both guests to arrive twenty minutes early, and the summary and recording are saved in the RealVoice portal.

How it fits your day

Gift card season
In December and before Mother's Day, the phone fills with gift card and package questions. Callers hear the options and how cards work while reception looks after the guests already in robes.
Weekend half days
Saturday and Sunday packages and couples visits are booked with matched therapists, and every guest is told how early to arrive.
First-timers
Guests who have never been to a spa hear what to wear, what happens in a facial and how to speak up about pressure, so they walk in calm instead of unsure.
Evening planners
People plan spa days at night, after the kids are in bed. They can book, ask about your cancellation rules and have the confirmation before they sleep.

Your software

Today it books treatments, packages and group visits into the RealVoice schedule in the portal, keeps the call notes there for reception, and texts guests a confirmation with arrival details. Gift card balance lookups are added during setup. If your spa runs Mindbody, Zenoti, Boulevard, Booker or Vagaro, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

Spa calls tend to be bigger than they sound. A couples half day can easily come to $600 or $700, and someone planning a birthday or an anniversary usually books with whoever answers first. If one of those calls a week rings out in December, that is well over $2,000 of holiday bookings in a single month, before counting the gift cards the same callers might have bought. Questions day spas ask

Can it check a gift card balance?

Yes. Once it's connected to your point-of-sale during setup, it reads the balance back to the caller from the card number, explains how your gift cards work and notes the card on any booking it makes.

Can it sell gift cards over the phone?

It doesn't take card payments. It can text the caller your online gift card link, or take their details for reception to call back and finish the sale.

How does it book couples massages?

It finds two therapists free at the same time and books them together, following your room and timing rules, and notes each guest's pressure or focus requests.

What does it tell a guest who's pregnant or has a health condition?

It follows the intake rules you give it, for example which treatments you offer during pregnancy, and puts the note on the booking for the therapist. It doesn't give health advice and passes anything unclear to the spa manager.

Can it plan a spa party for a bridal group?

It gathers the date, number of guests, budget and treatments they want, then warm-transfers to the spa manager, or sends the request straight over if the manager is with a guest.

Many of our guests are from Quebec. Can they book in French?

Yes. Guests can speak French, English or many other languages, and the agent checks with them before changing language so the call stays comfortable.
