Why florists miss calls, and what an AI receptionist changes

A flower shop's phone is busiest when the designers' hands are wet and full. The week of Valentine's Day, the Saturday before Mother's Day and any morning before the same-day cut-off, the bench is covered in stems and the one person at the counter is wrapping a bouquet for someone standing there. Calls from a husband who forgot an anniversary, an office ordering a get-well arrangement and a family arranging funeral flowers all arrive at once, and a florist can't stop mid-arrangement to take a careful sympathy order.

A RealVoice AI receptionist for florists takes those orders properly. It asks about the occasion, the budget and any colours or flowers the recipient loves, records the card message and reads it back word for word, and takes the delivery address, recipient's phone number and best time. For funerals it notes the funeral home, the service time and the family's name, so the arrangement arrives before the visitation. Couples planning a wedding are booked for a consultation with your wedding designer.

It follows your shop's rules rather than making its own. It tells callers your same-day cut-off and doesn't promise a delivery after it. It doesn't take card numbers, so each order goes to your order desk to finish payment the way you already do. It doesn't guarantee a specific flower in a season you can't get it, and explains your substitution policy instead. When a family wants guidance choosing flowers for a service, it warm-transfers them to the lead designer.

Example call, start to finish

  1. CallerHi, my father passed away on Sunday and the funeral is Thursday. I need to order flowers for it.
  2. AI receptionistI'm very sorry about your father. I'll help you with this. Which funeral home is it at, and what time does the service start on Thursday?
  3. CallerLougheed's in Sudbury. The service is at eleven, visitation at ten.
  4. AI receptionistThank you. I'll make sure the flowers are there before the visitation. Did you have something in mind, like a casket spray or a standing arrangement?
  5. CallerA casket spray, I think. And my kids want to send their own, something with sunflowers. He grew them every summer.
  6. AI receptionistThat's a lovely thing to include. Since there are two pieces and you'd like some guidance, I'd like you to speak with Anne, our lead designer. She's free now. One moment, please.
  7. AI receptionist(privately, to Anne) Caller's father passed Sunday. Service Thursday 11 a.m. at Lougheed's in Sudbury, visitation at 10. Wants a casket spray from the family and a second piece from the grandchildren with sunflowers, which he grew. Connecting.

After the call: Anne takes the call knowing the funeral home, the times and the sunflower request. The order details arrive at the order desk by text and email for payment, the call summary and recording are saved in the RealVoice portal, and the delivery goes on the schedule once the order is confirmed.

How it fits your day

Valentine's and Mother's Day
Many calls are answered at once, each order taken with the budget, card message and address, while the designers keep building arrangements.
Before the same-day cut-off
Morning callers hear your cut-off time and delivery areas, and orders that make it are passed to the bench in the order they came in.
Sympathy orders
Families are spoken to gently and their orders carry the funeral home, service time and visitation time, or they're put through to a designer who can guide them.
Wedding season planning
Couples call in the fall and winter to plan next summer's weddings, and they're booked for consultations even when the shop is closed.

Your software

Today it books deliveries and wedding consultations into the RealVoice schedule in the portal, keeps every order note, card message and call summary there, and texts customers a confirmation. If your shop runs Floranext, QuickFlora or Shopify, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

A sympathy arrangement or casket spray often runs $150 to $400, and a wedding commonly runs into the thousands. When a grieving family can't reach your shop, they simply phone the next florist on the list near the funeral home. If your counter misses five calls on a busy morning and one was a funeral order, that is a sale and a family relationship lost. Work through your own order values in the missed-call calculator on our homepage.

Questions florists ask

Can it take a flower order and the payment?

It takes the full order: occasion, budget, recipient, address, card message and delivery time. It doesn't take card numbers, so the order goes to your order desk by text and email to collect payment the way your shop already does.

Does it read back the card message?

Yes, word for word, including how the sender wants to sign it. Spelling of names is confirmed before the order is sent to the bench.

Will it promise same-day delivery?

Only before the cut-off time and within the delivery areas you give it. After the cut-off it offers the next delivery day or a pickup, by your rules.

How does it handle funeral orders?

It slows down, offers condolences and collects the funeral home, service and visitation times and the family name. A caller who wants help choosing is warm-transferred to your designer with a short private summary first.

Is the AI respectful enough for sympathy calls?

It speaks calmly, doesn't rush, and never upsells to a grieving family. You decide how it greets sympathy callers and when it hands them to a person.
