Why marinas miss calls, and what an AI receptionist changes

Marina phones follow the boating season. In April and May everyone wants a launch date at once, on a summer Friday afternoon boaters an hour out call for a transient slip, and in September and October the haul-out and shrink-wrap list fills up. The dockmaster is out on the docks catching lines and pumping fuel, the service techs are bent over an outboard, and the office phone rings in an empty room.

A RealVoice AI receptionist answers the marina's phone on the first ring, many calls at once. It books transient and seasonal slips, spring launches, fall haul-outs, winter storage and shrink-wrap into your schedule, asking for the boat's length, beam and draft, power or sail, and whether it needs 30 or 50 amp shore power. It answers questions about fuel dock hours, pump-out, the ship store and the depth at your entrance from the information you give it.

It only offers slips and dates that are open in your schedule, and it doesn't diagnose engines. A boater calling from the water with engine trouble near the harbour is warm-transferred to the dockmaster with the boat name and position read out first, so a tow in can be arranged. Requests like an outboard that won't start or a sterndrive due for new bellows go to the service department as written work requests.

Example call, start to finish

  1. CallerHi, we're on a 32-foot sailboat about an hour out. Do you have a transient slip for tonight?
  2. AI receptionistLet me check. What's your beam and draft, and will you need shore power?
  3. CallerEleven-foot beam, five-foot draft, and 30 amp if you have it.
  4. AI receptionistI have a slip on C dock with 30 amp power tonight, and our entrance carries six feet, so you'll have room. What's the boat name, and is this the best cell number?
  5. CallerSecond Wind, and yes. Actually, our engine temperature alarm just went off. We're under sail now, but we'll need to motor in.
  6. AI receptionistThanks for telling me. Second Wind is booked on C dock for tonight, and I'm putting you through to Pierre, our dockmaster, so he can plan how to bring you in. One moment.
  7. AI receptionist(privately, to Pierre) Second Wind, 32-foot sailboat, about an hour out, booked on C dock tonight. Engine temperature alarm, under sail now, will need help getting into the slip. Connecting.

After the call: Pierre takes the call knowing the boat, the slip and the problem. The slip booking is in the RealVoice schedule, the boater has a confirmation text with the dock and power details, the service department gets a text and email about the overheating engine for the morning, and the summary and recording are saved in the portal.

How it fits your day

Spring launch
From ice-out to the May long weekend, launch dates are booked in order, with boat size and the work needed before it goes in, while the yard crew runs the travel lift.
Summer weekends
Transient boaters calling from the water get a slip, the power they need and the fuel dock hours while the dockmaster is on the docks.
Fall haul-out
Haul-out, winterizing, shrink-wrap and indoor or outdoor storage are booked from September on, so the yard can plan its weeks.
The off-season
With the docks pulled and the office on short hours, calls about next season's slip, storage access and winter engine work are answered and sent to the right person.

Your software

Today it books slips, launches, haul-outs and storage into the RealVoice schedule in the portal, keeps service requests and call summaries there, and texts boaters a confirmation with the dock and slip. If your marina runs DockMaster, Storable Marine or Checkfront, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

A seasonal slip for a 30-foot boat can run $3,000 to $4,000, often with winter storage and shrink-wrap on top, and a transient boater spends $80 to $120 on dockage for the night before fuel, pump-out, the restaurant and the ship store. If the office misses five transient calls on each busy weekend in July and August, those boats tie up at the next marina along the shore, and that is around $6,000 in dockage alone over the summer. Our homepage missed-call calculator lets you test it with your own slip rates.

Questions marinas ask

Can it book transient slips?

Yes. It matches the boat's length, beam, draft and power needs to the slips you've opened in the RealVoice schedule, books one and texts the boater the dock, slip number and arrival instructions.

Can it book launch and haul-out dates?

Yes. It books spring launches and fall haul-outs on the days and times you release, and notes the work to be done, such as bottom paint, winterizing or shrink-wrap.

What does it do when a boater calls with a breakdown on the water?

It takes the boat name, size, position and the problem, tells anyone in danger to call the Coast Guard or 911 following your instructions, and warm-transfers to the dockmaster so a tow in can be arranged.

Can it give fuel prices?

It gives the fuel dock hours and the fuels you carry. It quotes a price only if you give it one, and if your price changes often, it tells callers the current price is posted at the pump.

Can an AI answer my marina's phone in the off-season?

Yes. Winter calls about storage access, next year's slip renewal and engine work are answered and passed to the right person, so the office can keep shorter hours without missing them.
