Why pharmacies miss calls, and what an AI receptionist changes

In a community pharmacy the phone rings at the dispensary, which is exactly where the pharmacist is counting, checking and counselling. Refill calls, 'are you open Sunday?' calls and 'do you deliver to my street?' calls arrive in a steady stream, peaking in the hour after opening and again at the end of the workday. In flu season the line fills with vaccine questions, and every call the pharmacist takes is time away from verifying prescriptions and the patient waiting at the counter.

A RealVoice AI receptionist answers the pharmacy line on the first ring. It takes refill requests by prescription number, or name and date of birth, and passes them to the dispensary as a clean list. As part of setup, the team connects it to your dispensary software, so it can tell a caller whether their prescription is filled and text them the moment it's ready for pickup. It answers hours, holiday closures, delivery areas and parking from your information, and books flu shots, COVID-19 vaccines, travel vaccines and medication reviews into the times your pharmacists set aside. Front-store questions go to front-store staff as a message or a transfer.

It never answers a clinical question. Whether two medications can be taken together, why a pill looks different from last time, or what to do about a missed dose goes to the pharmacist on duty, with a private summary first. Fill status comes straight from the dispensary system, so it never guesses at a pickup time, and whether a prescription can be refilled early is always the pharmacist's decision.

Example call, start to finish

  1. CallerHi, I need to refill my inhaler. It's the same one as last time.
  2. AI receptionistI can put that request in. Do you have the prescription number from the label? If not, your name and date of birth will do.
  3. CallerIt's 4417823. Louise Arsenault.
  4. AI receptionistThank you, Ms. Arsenault. I'll text you as soon as it's filled. Would you like to pick it up or have it delivered?
  5. CallerPickup. Oh, and I picked up my blood pressure pills on Saturday and they're a different colour than usual. Is that okay?
  6. AI receptionistThat's a question for the pharmacist, and I don't want to guess. Marc is at the dispensary now. I'll put you through and let him know what it's about.
  7. AI receptionist(privately, to Marc) Louise Arsenault, refill request in for her inhaler, number 4417823. She's asking why her blood pressure pills from Saturday are a different colour. Connecting.

After the call: Marc answers the colour question himself on the same call. The inhaler refill sits in the dispensary's queue with the prescription number, name and pickup preference, she gets a text the moment it's filled, and the summary and recording are saved in the RealVoice portal.

How it fits your day

Opening hour
The overnight backlog of refill requests is taken by phone and lined up for the dispensary, so the pharmacist starts the day checking prescriptions instead of returning calls.
Flu shot season
From October on, vaccine calls get your clinic times, eligibility notes and what to bring, and the appointment goes into the vaccination schedule.
Delivery questions
Callers hear your delivery days, areas and cut-off times. With your delivery tracking connected during setup, someone asking where their order is hears the driver's estimated arrival, and anything unusual goes to whoever runs deliveries.
Evenings, Sundays and holidays
When the pharmacy is closed, callers get your hours and the nearest open location if you list one, and refill requests are taken for the morning.

Your software

Today it books vaccinations and medication reviews into the RealVoice schedule in the portal, keeps every refill request, message and call summary there, and texts patients their appointment confirmation and a pickup text when a prescription is ready. If your pharmacy runs Kroll, Propel Rx, WinRx or Ubik, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

Pharmacy loyalty is won or lost on the phone. A patient on three or four maintenance medications refills every month, and if they can't get through to put a refill in, moving their prescriptions to the pharmacy across the plaza takes one call. Losing even one such patient a week is fifty patients a year, each with dozens of fills, going to a competitor. Questions pharmacies ask

Can it take refill requests?

Yes. It collects the prescription number, or the patient's name and date of birth, plus pickup or delivery preference, and passes each request to the dispensary. With your dispensary software connected, it tells the caller how many refills are left; when the prescriber needs to authorize more, your team follows up.

Will it answer drug interaction questions?

No. Any question about interactions, side effects, dosing or a change in how a medication looks goes to the pharmacist, by warm transfer when someone is free or as an urgent message when not.

Can it book flu shots and travel vaccines?

Yes. It books the vaccine times your pharmacists open up, tells callers what to bring and texts a confirmation. Walk-in policy and eligibility come from your instructions.

Can it tell patients their prescription is ready?

Yes. As part of setup, the team links it to your dispensary software, so it can tell a caller their prescription is ready and send a text the moment it's filled. Questions about the medication itself still go to the pharmacist.

Can pharmacy phone answering run only when we're swamped?

Yes. Forward the line to the agent when the dispensary is busy, after hours, or all the time. Staff can still pick up whenever they're free.

Can it help patients who aren't comfortable in English?

Yes. It speaks English and French, and many other languages too, and checks with the caller before it switches. Clinical questions in any language still go to the pharmacist.
