Why self-storage facilities miss calls, and what an AI receptionist changes

Most self-storage sites run with one person in the front office, sometimes nobody. That person is showing a customer a 10 by 15 out in the drive-up rows, selling a box kit and a disc lock at the counter, or sweeping out a vacated unit, and the office phone rings unanswered. The rushes are predictable: the end of every month, the weeks before July 1 in Quebec, students packing up in April and May, and fall when people put away boats, trailers and patio furniture.

A RealVoice AI receptionist answers the facility's phone and helps callers pick the right space. It asks what they're storing and recommends a size from your own size guide, explains the difference between drive-up and indoor climate-controlled units, gives the access hours and office hours, and answers questions about insurance requirements, locks and moving supplies from your information. It takes the reservation and books a move-in time, then texts what to bring.

As part of setup, the team connects it to your facility's management software, so it checks which sizes are free right now and holds a unit for the caller's move-in date. Tenants calling about their account hear their balance and due date. It doesn't take card payments or change a gate code. A customer stuck at the gate after hours with a loaded truck is warm-transferred to the on-call site manager, and billing and late notice questions are passed to the billing desk as messages.

Example call, start to finish

  1. CallerI'm moving out of my apartment in Rosemont on June 30 and my new place isn't ready until mid-July. What size unit do I need for a one-bedroom?
  2. AI receptionistFor a one-bedroom, most people are comfortable in a 10 by 10. If you have a sectional or a lot of boxes, a 10 by 15 leaves room to walk in. Roughly what are you bringing?
  3. CallerA bed, a couch, a dresser, maybe thirty boxes. And my grandmother's piano.
  4. AI receptionistThe piano changes things a little. A piano is better kept out of summer heat and humidity, so I'd suggest an indoor climate-controlled 10 by 10. I can reserve one for a move-in on June 30. What time would your truck arrive?
  5. CallerAround nine in the morning. Moving day is going to be chaos.
  6. AI receptionistIt always is. You're booked for 9 a.m. on June 30 for a climate-controlled 10 by 10, and the office will confirm your unit number by text before then. Bring photo ID and a disc lock, or buy one at the office when you arrive.

After the call: The reservation and move-in time are in the facility's RealVoice schedule, flagged for climate control and a piano, and the site manager is notified by text and email to assign the unit. The customer has a confirmation text with what to bring, and the call summary and recording are saved in the portal.

How it fits your day

Month-end and moving season
On the busiest moving weekends, every caller gets a size recommendation and a booked move-in time while the front office handles the line at the counter.
Climate-controlled questions
Callers storing furniture, photos, documents or instruments hear the difference between drive-up and climate-controlled units, from your own descriptions.
After-hours gate trouble
A code that won't work with a truck idling at the keypad reaches the on-call site manager. Routine access questions get your hours and instructions.
Seasonal storage
In the fall, boat, RV, trailer and car storage enquiries are answered from your outdoor parking rules and booked for a move-in.

Your software

Today it takes unit reservations and books move-in times into the RealVoice schedule in the portal, keeps every call summary and recording there for the site manager, and texts customers their confirmation and what to bring. If your facility runs SiteLink, storEDGE, Hummingbird or Storage Commander, the team can set up a connection to it; custom integrations are quoted separately.

What a missed call costs

A climate-controlled 10 by 10 at about $185 a month that stays rented for a year brings in roughly $2,200, more if the customer forgets about it for two. During the late June rush, a single-person office can easily miss half a dozen calls a day. If one in four of those callers would have rented, that's several units a week going to the facility down the road, each one a year or more of rent. Run it with your own rates in the missed-call calculator on our homepage.

Questions self-storage facilities ask

Can it tell callers which units are available right now?

Yes. Once it's linked to your storage software during setup, it sees which units of each size are vacant, offers only those and takes the reservation against a real unit. When the last 10 by 10 rents, it stops offering that size.

What happens when someone's gate code doesn't work after hours?

It checks the basics you give it, such as entering the code followed by the pound key, then warm-transfers the customer to the on-call site manager with a quick summary. It can't open the gate or change a code itself.

Can customers pay their rent over the phone?

It doesn't take card payments. It explains the ways you accept payment, tells tenants their balance and due date from your connected storage software, and passes late notice disputes to your billing desk.

How does it help callers pick a unit size?

It asks what they're storing, how many rooms and whether there are large items like a sectional, a piano or a motorcycle, then recommends a size from your size guide and explains why.

Can an AI answer my storage facility's phone when the office is closed?

Yes. It answers at any hour, takes reservations for the next day, gives access hours and handles gate problems under your rules.
